Best AI Tool - I am never turning back!
So you know every now and again you find that AI tool that just actually feels like it has a huge impact and there is literally no learning curve. Well, I found the one. Whispr Flow This tool allows you to simply speak to your PC or laptop while it transcribes your speech live in text. According to their research, this is three to four times faster than typing. When you spend as much time on emails and ChatGPT or Claude as me, I think in the last month I've must have saved at least a full day of typing by now. Grab the desktop version, get the free trial and if (or rather when) you love it, it only costs like $7 a month :)
The VA skill nobody talks about: building a proper offboarding process
When a client relationship ends most VAs just... stop. no structured handover, no access revocation checklist, no documentation of what was built. I have a full offboarding SOP files transferred and organised, all platform access revoked and logged, SOPs documented and handed over, final report summarising what was delivered. takes about two hours but it closes the relationship cleanly and professionally. the clients who gave me the best referrals were the ones I offboarded properly. how you end an engagement is part of your reputation too.
I had my first kinda awkward client moment today.
They asked me to “make the spreadsheet look more professional” and I realized I actually don’t know much about formatting/report presentation 😭 I can do the data entry part fine, but presentation/design is another thing completely. What’s the best way you guys learned stuff like that? Templates? YouTube? Just practice?
If you're managing multiple clients and still using your inbox as your task list, that's your bottleneck
Every client should have a dedicated workspace not a thread buried in your email. when your task list lives in your inbox you're constantly context-switching, missing things, and reacting instead of working to a plan. I run a separate Notion workspace per client with its own task board, SOPs, and communication log. I open my inbox on a schedule, not all day. the work gets done faster, nothing falls through, and clients get a more organised VA than one who's just trying to keep up with messages.
A mistake I see newer VAs make constantly:
Using too many tools too early. You do NOT need 14 AI apps and 6 project managers to support one client. For most clients: - one communication tool - one task system - one documentation space - one AI assistant …is enough. Complex workflows usually break faster. Keep it boring until there’s a real reason to scale.
