Virtual Meeting Assistants
Good morning! Back in June @Kevin Stephison had asked about using "AI Notes" for virtual meetings in this thread. I'm currently considering adding a meeting assistant to help with my Zoom/Teams meetings to record/transcribe/summarize my client meetings. I know @Joe Moss mentioned in the thread above that he's used Grain and Fathom. Curious, Joe... which of these 2 would you recommend and why? In the same thread @Brian Quaranta mentioned Avoma. And @Mark Wellman suggested a couple additional options. Anyone else trialed or using any of these tools and have any thoughts or opinions? Thanks very much 😀

Jump AI does a great after action summary and has integrations with most CRM platforms.
Schwab Master Account Structure for Growing RIA
Looking for suggestions on how to structure our Schwab Master Accounts, for those with experience in scaling an RIA. We are a growing team, just acquired another advisor, and then added one of our own advisors. We are trying to decide between individual account visibility settings or creating brand new Master Accounts for each advisor. For context, our own Advisor currently has 9 Masters. We estimate that each advisor, due to the strategies we are running, would need their own 7 Masters. This is quickly adding up for those of us who have access to all of them! Is this the best approach - adding their own Master accounts? Or would it be better to manage visibility for each new account and add them to existing masters? TIA!

I think the master accounts should reflect how the firm operates - not who the advisor is. Beneath each Master account I would utilize Schwab's group manager functionality to create more specified groups from there. If each advisor is using similar strategies you might want to have the Master = Strategy, then use the grouping tool to identify advisor and another Master=Billing Structure, then group my advisor. Layer 1: Masters = Billing & Strategy Level 2: Households - client relationships fully grouped using Schwab's grouping tool Level 3: Rep Codes - Advisor/team access and ownership Level 4: Security Center - create role-based permissions. This allows access to be granted via role + rep code and not the master.
Email Retention for Compliance
What company/product do you use for email retention (compliance purposes) for an RIA that uses Microsoft 365 for Emails?

Smarsh - makes compliance visible by capturing and supervising communications, and providing auditable records.

Hi everyone — I’m Andrea (Annie) Russo, based in Northville, Michigan. I’ve spent the last ~20 years in the RIA and wealth management space, serving in COO, CCO, CFO, and Chief Integration roles at founder-led firms ranging from growth stage to $700M+ AUM. My work lives at the intersection of: • Operations that scale • Compliance infrastructure that actually works in practice • CRM & tech stack integration (Salesforce FSC, Advent APX, iRebal, custodial platforms) • M&A diligence and post-merger integration• Building structure around founder-led growth I’m currently consulting and open to fractional COO / Operations engagements with RIAs that are scaling, merging, or feeling the strain of outgrowing their systems. Most firms don’t need more ideas — they need operational architecture. I’m especially passionate about helping advisory firms move from “founder dependent” to “system dependent.” If you're wrestling with tech stack fragmentation, compliance lift, billing complexity, or preparing for growth/exit, I’d love to connect. Looking forward to learning from everyone here. www.linkedin.com/in/andrea-russo-5b14259b
