Hey everyone, I will be doing a webinar with Wealthbox tomorrow talking best practices on leveraging AI for client communications. Yes - there’s more to using AI as an advisor than just taking meeting notes. Although hosted by Wealthbox, the discussion is relevant if you use a different CRM. Using Redtail to track the last conversation with a client.
Curious how others use RedTail to track their last conversation with a client. Thank you, Brenda

@Brenda McCombs It depends on how you define "Conversation". We have helped advisors track both the most recent meeting date and also the most recent email/phone call date, so they have an understanding of different types of touch points. You can fully automate the tracking/updating of this data point using Zapier. These data points can be super beneficial, because you can build other automated workflows on top of them. Like a system that suggests clients to reach out to if its been a while!
Subscription Document Automation
Hi there, Is anyone on here using a service to automate the subscription document process for alternatives using the client data in Wealthbox? I reviewed the integrations list, and see Docusign listed but the underlying process is through Zapier and doesn't appear to actually form-fill from the CRM to Docusign. https://www.wealthbox.com/integrations/ Alternatively, the client is on Black Diamond, and I know SS&C offers a utility for this but it is likely costly and would still need to integrate the two applications. Thanks!

@Jessica Jones You are correct that the out of the box Zapier integration wont actually form-fill the Docusign template. But, Docusign does support form-filling through their API and you can accomplish this with a "custom code" zapier step. So the flow would live in Zapier, collect the client data from Wbox, then send it into the Docusign template via their API instead of via the Docusign zapier connector. We build zaps all the time with custom code to go beyond what the out of the box integrations support. I could whip this up for you fairly quickly if you do not find an alternative! Database Audit Help Needed
Looking for a CRM Data Audit Specialist Our firm recently moved from Wealthbox to Redtail based on a recommendation from a third-party consultant. The reason for the switch was that we were advised Wealthbox would not be able to handle the thousands of leads we bring into our database each month. However, during and after the transition, we have encountered significant issues: • Duplicate contacts: Redtail created a large number of duplicate records. • Missing notes: Key client notes from Wealthbox, some spanning 10 years, didn’t transfer and are missing from Redtail. • Tagging errors: Marketing campaigns are disrupted due to incorrect or missing tags on contact records. • High CRM Costs: We are currently maintaining both Wealthbox and Redtail because we don’t trust that Redtail has all of our data. We continue to find more duplicates, missing data, and missing tags daily. This is costing us over $24,000 a year to maintain both databases. Does anyone know of a specialist who can audit our data, ensure everything matches between systems, and fix these issues? Any contacts or recommendations would be greatly appreciated!

CSA ratios to AUM in Servicing Clients
Does anyone know the ratio of AUM to CSA? Prior to our CSA who left she was servicing $75,139,717.65. She felt overwhelmed. I was servicing $599,877,556.77 while also being on the management. Broker Dealer Ratio is 2.0MM in revenue to FA/CSA. Thank you.

I don't think there is a perfect ratio for this and it likely depends on avg size of your clients, their expectations, etc I do think that most advisors can get more out of their CSAs by equipping them with workflow automations, maybe some of the new AI tools and also making sure your tech stack is tightly integrated. With the tech landscape evolving quickly, I would encourage anyone thinking about this metric to track it and see how you can decrease the ratio over time. I wouldn't shoot for a certain ratio, I would shoot for decreasing your current ratio with tech while upholding client satisfaction
