15-Minute Introductory call for prospects
Do any of your offices offer a 15-Minute Introductory call to prospects to vet them? If so, who is doing that call i.e. the advisor, marketing, operations? Can you also share the questions that are asked on that call? TIA

5 advisor 3 admin office. Advisors do the call. 30 minutes. Prospect schedules through a calendly link or calling the office.
Roles and permissions in Redtail
What are best practices when you have two talented client service associates who both want to service all of the clients? How do you handle the assignment of roles in Red Tail? Should the CSAs be assigned to specific clients or should they both work on the entire book? Any feedback is appreciated.

In our firm the three CSA all work on the entire book. We each have areas of expertise and we assign tasks to CSAs based on who is best equipped to handle the task which is sometimes a matter of who has the bandwidth at that point in time.
CSA ratios to AUM in Servicing Clients
Does anyone know the ratio of AUM to CSA? Prior to our CSA who left she was servicing $75,139,717.65. She felt overwhelmed. I was servicing $599,877,556.77 while also being on the management. Broker Dealer Ratio is 2.0MM in revenue to FA/CSA. Thank you.

Scheduling meetings with multiple team members
We are trying to find a scheduling solution (ex. Calendly, Zoom Scheduler) that will make it easy for us to offer times to clients/prospects that work for multiple team members. Anyone have a tool they like for this?

@Marcella Toronto We use Calendly. We've done different things over time depending on how separate the teams are. We had one solution that worked okay when there was a lot of overlap between alot of teams, and a different one now that the teams are more separate and distinct. We still have a lot of clients where the choice of who is going to sit second chair is made more last minute from a pool, which is a different complication. We also have some clients where the choice of who is going to sit second chair is fixed and that is when we use team meetings in Calendly to make sure everyone is available. I'm happy to show you what we've done. One complication with meetings in Calendly with multiple team members is you have to specify where the meeting is taking place while creating the meeting type. For individual advisor meetings Calendly lets the client choose when they Schedule. Again we've found different ways around this at different times. This takes a lot of time to set up initially, but has been very robust and useful for our office. As @Nick Stablein said we also make sure all of our advisors know how to set up a one time link if they need to. @Natalie Bergsma is definitely right the more teams you have the harder this will be to maintain. I'm really frustrated that Calendly doesn't have managed templates that can be pushed out across teams.
RIA operations conference
Wondering if there is a good RIA operational conference to attend?

I certainly know that no one in my office had any suggestions for training for Ops role or conferences for Ops role, so I'd welcome the opportunity to have more direct interactions with others whose focus is more Ops. Now that the Schwab transition is done, taxes are done, and our new CSA has come on board, I might have the extra bandwidth to spend some more time here trying to make some of those connections.
