VA Advice Please
For those of you using VAs for front desk support, especially clinics that rely fully on VA kiosks, how do you handle maintaining two physical bodies in the clinic at all times for safety and security? I get how scheduling can cover this under normal circumstances, but what’s the plan when someone is out sick or on vacation? I’m also curious how you manage urgent VA messages when the treating PT is tied up and not at their computer. For example, if they're doing manual work and something time sensitive comes up, how do you make sure that info gets to them quickly? We currently have three VAs and are looking at potentially expanding, including adding Saturdays or opening a new location with an all VA system. We’ve already run into a few logistical questions and barriers, and I know many of you have figured this out successfully. I’d really appreciate any advice or insight on how your clinics handle these pieces. Thank you in advance!

Tardiness policy examples?
Hello everyone! Curious about some examples for a tardiness policy? We have never needed to have one in place though do have a new hire that often arrives 2-3 min after the start of her shift. I want to have clear consequences and boundaries in place to amend to our handbook so it’s more objective. Would be grateful for any examples you’d be willing to share. Thank you in advance!! 🫶
Looking for some Exec Assistant VA advice :)
Hi all! My husband and I own a pediatric outpatient therapy practice in Savannah, Ga. We are venturing out to bring on our first VA/Executive-Personal Assistant through VR. Trying to navigate a few things before she starts next week. For those of you who have a VA managing your email inbox, how have you found to be the best way to give them access? We use Microsoft 365, so sharing our password to our email will grant access to everything- Teams messages, files, etc. We do have the option to make our emails shared inboxes, but I think this will be too cumbersome for the two of us. Anyone have advice they'd like to share? Would greatly appreciate it!

VA for intakes?
We are considering adding a second VA to handle intakes and scheduling. My team is hesitant and feels it needs to be a physical person in the office. We do a mix of central and therapist scheduling, so there is a ton of communication between therapists and the scheduler. I know many have done this successfully. I’m personally only worried about not being able to monitor the calls and be able to give feedback about tone. Thoughts?
