Tax Operations and Software
Looking for recommendations on an awesome client portal and tax return tracking software! Our current operations is an excel spreadsheet and ProConnect's portal, but we have had a lot to be desired with the portal and with an ever-growing team and new clients, we need better systems in place to reduce room for error. We use Redtail as our CRM and were recommended Karbon as a new client portal and tax status tracker as it integrates with ProConnect, but that is having is pain points as well. Looking to see other firms who also do taxes to see what other systems are out there!
Transition to a back office trade desk
Our firm is currently set up with 3 person advisor teams - Advisor, Associate Advisor and Operations associate. We are looking at moving to more of a front office (client facing) and back office (trading desk and account paperwork) operational structure. We use Redtail, Schwab and are currently migrating from Morningstar to Black Diamond. I am wondering if you have recently transitioned your operations in this way? I am also wondering if your firm uses Redtail, how do you assign activities to a trade desk or a back office where there are multiple people who would be working off of one queue. We currently only see functionality in Redtail to create activities and assign individual people (not a group). I appreciate any suggestions you may have.

Our office has "teams" created in Redtail for assigning workflow tasks -- the paperwork team will see a new paperwork workflow started and essentially one person on the team must "claim" the task or reassign it to them. For task activities the advisor will assign the task to either the entire team (3 people so it's pretty easy to do) or assign it to one of them who best handles that assignment (new account paperwork vs. distribution paperwork vs. asset maps, etc.) We just started using workflows in-office about a month ago and has very quickly shown to be a positive keeping our heads wrapped around all of the tasks.
Zeplyn AI vs. Jump AI - Redtail
Also curious if anyone has compared Zeplyn AI vs. Jump AI when used alongside Redtail? Any feedback or experience with either platform would be super helpful.

Our office just started using Jump AI and it has been a gamechanger in terms of client meeting prep and overall more consistent notes across advisors. The ability to assign tasks and workflows for follow up is also very helpful to keep our office running. We are trialing GReminders scheduler because of its ability to automatically start opportunities and workflows as well, but are still fleshing it out. GReminders's AI feature seemed very similar to Jump AI but Jump seems a bit more user friendly.

@Lauren Bernal Great question! The advisors have to review the tasks before sending them to the CRM and they can choose to either make it a task on the calendar or launch a workflow. We have two paperwork assistants who work with existing and new client paperwork and a junior advisor who works on asset maps, simplicity portals, and financial planning. Depending on the task needed, it gets assigned to the best person. Our 3 advisors all share our 2 paperwork preparers and junior advisor.
