Operations Manager – Convo GPT
We’re seeking a proactive, organized Operations Manager to ensure smooth day-to-day operations, client onboarding, and coordination across internal and external teams. You’ll manage workflows, monitor business functions, and support both client success and company growth.
Key Responsibilities
Client Onboarding & Account Management
• Oversee new client onboarding, ensuring account setup, workflow accuracy, and verified billing.
• Maintain client account health, billing, usage, and renewals.
• Serve as point of contact for escalations during onboarding or transitions.
Billing & Financial Operations
• Manage rebilling and allocation of usage minutes.
• Reconcile charges daily and confirm successful processing.
• Provide weekly and monthly revenue and usage reports.
Advertising & Analytics Oversight
• Monitor Meta Ads accounts daily, reviewing spend and performance.
• Flag anomalies and assist with campaign optimization.
• Ensure ad-related charges process correctly.
Vendor & Partner Management
• Negotiate and maintain best pricing on tools and services.
• Build relationships that support cost savings and efficiency.
Team Coordination
• Bridge U.S. leadership with India-based operations and automation teams.
• Track project timelines, updates, and blockers.
• Maintain consistent communication and accountability.
Technology & Platform Oversight
• Maintain working knowledge of Go High Level (GHL) and related systems.
• Troubleshoot minor issues and escalate when needed.
• Ensure tools are effectively supporting client outcomes.
Sales Support & Leadership
• Step into meetings when leadership is unavailable.
• Provide product knowledge and prepare materials and follow-ups for key business discussions.
Additional Responsibilities
• Develop and maintain SOPs for onboarding, billing, and reporting.
• Ensure compliance with billing, data, and platform standards.
• Track operational KPIs and identify process improvements.
Qualifications
• 5+ years in operations, business, or account management (SaaS, digital marketing, or BPO preferred).
• Familiarity with GHL, Meta Ads, and automation tools.
• Financial acumen in billing and reconciliation.
• Strong vendor management and negotiation skills.
• Experience leading remote, international teams.
• Excellent communication, organization, and multitasking skills.
