Trello vs Asana vs ClickUp — which one do you actually recommend to clients?
I've tried all three at this point and honestly still not sure which one to go with 😅 Trello feels too simple once projects get complex, Asana is clean but the free plan is pretty limited, and ClickUp has everything but it's so overwhelming to set up that I feel like I spend more time configuring it than actually using it. my clients are small business owners, not big teams, so I don't need anything enterprise-level just something reliable, easy to hand off, and ideally free or cheap. what are you guys actually using day to day and would you recommend it to a client who's not super tech savvy?

Curious what tools everyone is using for task/project management with clients?
I’ve been using Notion but one of my clients prefers Trello and it’s getting messy switching between systems. Do you guys stick to your own system or adapt to each client?

@Maya Dalton I think what is ideal to do here is adapt to client system. You can still have your Notion for your internal use.
One mistake I see newer VAs make: over-relying on AI outputs without refining them.
AI is a drafting tool, not the final product. Quick framework I use for client content: 1. Generate 2–3 variations 2. Mix & refine manually 3. Adjust tone to match brand voice 4. Add a human-specific detail (story, opinion, or nuance) That last step is usually what clients actually value.

Well said @Nina Harmon One thing I always tell people is that they shouldn't outsource their ideation to AI. Be the one to come up with ideas and use AI to make it better not the other way round.
Small win but also a question…
Finally landed a client who wants me to manage their inbox + draft replies using AI. I’ve been using templates + tweaking with AI and it’s working okay so far. But I’m wondering how do you guys keep replies from sounding too “AI-ish”? I still feel like sometimes it’s too polished and not “them” enough.

@Nina Harmon well said queen. In addition to that, if you are using chatgpt you can create customized gpt, if Gemini create customized Gem. And feed those past replies to those with prompt. It will equally help.
I built my first AI Automation for my Executive
It is incredible how taking away even one trivial task can help with energy focusing. In EA role, we often think about delegation as something we do only with humans. But you can delegate to AI and systems, too. When I started working with my executive, she was tracking employee leave manually with a Google Sheet. At first, it was manageable. But as we grew to 30 employees, it became overwhelming. I knew I had to put my automation skill to work🤗 How the System Works ​Airtable database automatically calculates PTO balances so no one has to do manual math. ​I created two separate portals. Employees have a simple form to request time off and see their own balance. My executive has a high-level dashboard to approve or reject with one click. ​When a request is made, she gets an email. When she makes a decision, Zapier sends a personalized email to the employee with the next steps and feedback. Since my contract is ending soon, my goal is to leave her with a self-operating executive office. Before I wrap up, I’ll be building: ​Expense Reimbursement Tracker: A no-friction way for the team to submit receipts and for the executive to approve them in seconds.
