scaling past one account is where most agencies quietly start leaking
real talk for the operators. everyone obsesses over getting MORE accounts, nobody talks about what breaks when you do. and it breaks in a really specific, expensive way. one account is deceptively easy because you ARE the infrastructure. you carry the fan knowledge, the schedule, the whos-hot list in your head, and at that scale it works flawlessly. so you scale assuming it transfers. it doesnt. i went to 4 accounts, ~700 active fans total, and discovered my "operation" was just me — three accounts deep i couldnt tell you who my top spenders were per account without digging, and convos were dropping in the seams between accounts where nobody owned the context. the leak isnt dramatic. its a whale on account 3 going quiet while youre heads-down on account 1. its a chatter taking a shift blind because the notes live somewhere else. multiply that across accounts and the margin just evaporates. what stopped it: one standardized operating layer across every account — same fan profiles, same numbers, same handoff process, visible to the whole team regardless of which account. i run it through onlystack now (theyve had me on a free advanced plan a while) but the standardization is the actual lever, not the brand. for the bigger operators — at what account count did running each one ad-hoc officially stop working?

This is a good point. I feel like the real bottleneck starts when the owner can’t personally remember every fan/context anymore. At that stage, did you solve it more with stricter SOPs for chatters or with a better system/tools layer?

@John Kandal Yeah this makes sense. SOPs only work when the setup makes them easy to follow - otherwise chatters will always take shortcuts. The big thing for me is having fan context, notes, spend history and handoff info in one place so the next chatter doesn’t start from zero. Curious, what’s been the most useful part of OnlyStack for you so far - fan profiles, tracking, or the chatter workflow?

If you already have models and traffic coming in, what’s harder right now: - getting more traffic - managing chatters - tracking which fans are worth time - knowing which traffic source brings real spenders - keeping CRM/workflows clean Curious what the biggest pain is for agencies that are already operating, not just starting out.

For me, the biggest issue is not just getting traffic, but understanding what happens after the fan comes in. You can bring a lot of fans, but if the team doesn’t know who’s actually worth time, which source brings spenders, or where chatters lose money, scaling gets messy fast. Curious how others are tracking this, mostly manually, or with some CRM/analytics tool?
