How To Document SOP's with Loom AI, Google Drive, & Notion
In this video, you’ll build a scalable system for creating and managing SOPs using Loom, Google Drive, and Notion—so your team can document processes, reduce owner bottlenecks, and operate more independently. Here’s what we cover: - How to delegate SOP creation across your team (not just owner-led) - Use Loom to record walkthroughs and async communication from the field - Generate SOPs automatically using Loom AI tools - Store and organize SOPs inside Google Drive for long-term access - Review and refine SOPs inside Google Docs with team collaboration settings - Create a Slack workflow for feedback, approval, and version control - Build a visual SOP library in Notion for easy access and team onboarding - Organize your Google Drive into clean, scalable folders for business functions - Delegate SOP organization to a VA or back-office admin (with examples) This setup turns daily work into permanent systems—documented, searchable, and scalable. In this video, you’ll create a real-world SOP from a team interaction and organize it into your system. What you’ll learn: - Why Loom is the fastest way to capture and respond to process questions - How to leverage Loom’s AI to auto-generate SOPs and save time - How to involve your team in SOP creation and reduce owner dependency - Why Notion adds visual clarity and better access for your team - Best practices for naming, reviewing, and updating SOPs collaboratively Step-by-step walkthrough: ✅ Record a process question or walkthrough using Loom ✅ Share Loom videos in a Slack review channel for async feedback ✅ Respond to Looms as the owner and approve processes ✅ Use Loom’s “Generate Document” tool to create the first SOP draft ✅ Copy the AI-generated SOP into a Google Doc and review/edit ✅ Set Google Drive permissions (commenter-only) and share with team ✅ Delegate SOP library maintenance to a VA or admin ✅ Optional: Mirror Google Drive folders in Notion for a visual company wiki By following this system, you’ll stop reinventing processes and start scaling with documented clarity.

💡Challenge: Define Your Ideal Customer Profile
Most local service businesses spin their wheels because their message is too generic. The fastest way to fix your marketing is to get crystal clear on WHO you serve and WHAT they care about most. That’s where your Ideal Customer Profile (ICP) comes in. This week’s challenge: 👉 Use this ChatGPT prompts below to create your ICP and post it back here in the classroom when you’re done. .......... Copy & paste this prompt into ChatGPT "I own a [type of service business: e.g., tree service, excavation, snow removal, etc.] called [your business name], and we serve customers in [your city/region/state]. I want you to help me define my Ideal Customer Profile in detail. Please give me a profile that includes: 1. Demographics – Age, gender, income, property type, household size, etc. 2. Psychographics – Beliefs, values, motivations, lifestyle. 3. Pain Points – The top 3 problems they face that I solve. 4. Buying Triggers – Specific life events or seasonal moments that cause them to hire me. 5. Objections – The top reasons they might hesitate to hire me and how I should counter them. 6. Decision-Making Style – Do they want speed, price, quality, or reputation? 7. Where They Hang Out – Online platforms, local events, and neighborhoods. 8. Messaging Angle – Write me 2–3 customer-focused marketing statements that make them feel I’m speaking directly to them. Use plain, clear language. Make it detailed, realistic, and something I can copy/paste into my marketing materials."

Ideal Customer Profile – Saddleback Mountain Pool and Spa Service Demographics - Age: 35–65 years old - Gender: Split fairly evenly, but often women manage home service providers - Income: $150,000+ household income - Property Type: Single-family homes with swimming pools or spas (often valued $1M–$3M+) - Household Size: Families with children, dual-income professionals, or empty nesters who entertain often - Location: South Orange County, CA (Irvine, Lake Forest, Rancho Santa Margarita, Coto de Caza, Dove Canyon, Ladera Ranch, Rancho Mission Viejo, etc.) Psychographics - Value reliability and professionalism—they want someone who shows up every week without excuses. - Pride in their backyard—see their pool/spa as part of their home’s lifestyle and an investment in family enjoyment. - Busy lifestyle—career, kids, travel, or social commitments mean they don’t have time (or desire) to manage their own pool. - Motivated by quality and trust—they’d rather pay more for peace of mind than risk poor service. Top Pain Points (That You Solve) 1. Unreliable or inconsistent service – Technicians who skip visits, don’t communicate, or rush through jobs. 2. Dirty or unsafe water – Cloudy water, algae growth, or equipment not maintained properly. 3. Lack of trust and professionalism – Previous providers using subcontractors, not being insured, or leaving customers in the dark about what was done. Buying Triggers - New pool ownership – They just bought a home with a pool and need reliable service. - Bad past experience – Fed up with a “cheap” or unreliable pool guy who skipped stops. - Seasonal stress – Pool problems show up in spring/summer when the family wants to swim or they’re hosting guests/parties. Common Objections & Counters 1. “You’re more expensive than others.”→ “Yes, but we never skip stops, always vacuum, and have more 5-star reviews than anyone else in Orange County. You’re paying for reliability and a spotless pool every week.” 2. “Can’t I just do it myself?”→ “Many of our clients tried that and found it eats up their weekends. We save you time, prevent costly mistakes, and keep your pool swim-ready all year.” 3. “How do I know I can trust you?”→ “We’ve been in business 29 years, serve 400+ families, and use only in-house employees—never subcontractors. Our reputation speaks for itself.”
