Feeling Overwhelmed? Let’s Talk About It (And How to Manage It)
Planning events means juggling timelines, vendors, contracts, room blocks, signage, F&B, AV, seating charts and that’s just Tuesday!
It’s no wonder so many of us feel burned out, overwhelmed, or on the edge of dropping a detail that derails the whole thing.
Here are 7 ways to manage the stress of planning events and avoid overwhelm before it takes over:
1. Start With a Master Checklist. Get it all out of your head and onto paper (or project management software) Seeing everything mapped out equals instant relief and clarity.
2. Break Big Projects Into Micro Tasks. “Plan the welcome reception” is overwhelming. “Confirm catering quote by Friday” is manageable. Break it all down and prioritize weekly.
3. Use Time Blocks, Not Just To-Do Lists. Schedule focused work blocks for sourcing, emails, floorplans, etc. Protect your brain from the chaos of constant context-switching.
4. Stop Trying to Remember Everything. Use tools like Asana, Trello, or even a simple Google Sheet. Free your brain for strategy, not remembering where you saved the contract.
5. Ask for Help Sooner Rather Than Later. Delegate to your vendors. Loop in the hotel team. You don’t earn badges for burning out.
6. Build in Buffer Time. Add padding between deadlines and execution. Overwhelm often comes from always being 24 hours behind, build in the margin.
7. Give Yourself Permission to Log Off. You’re not a better planner by being available 24/7. You’re a better planner when you’re rested, clear, and prepared.
Bonus - Be honest with your clients. If they ask for a task to be completed tomorrow and you know it is unrealistic, say so. Let them know you can complete the task in a timeline that is realistic based on your current workload. I am guilty of this so had to work on this for my sanity.
