Red flag: "It's complicated" or can't explain process clearly.
QUESTION 2: "How many [documents] do you process weekly, and how long does each take?"
What I'm calculating: Weekly hours × hourly cost × 52 weeks = Annual waste.
This becomes my pricing anchor.
Red flag: Under 20 documents monthly. Too low volume for automation ROI.
QUESTION 3: "What happens if these documents don't get processed on time?"
What I'm finding: Urgency. Business impact. Decision-maker pain.
Great answers: "We miss billing cycles" or "Customers get angry" or "Compliance issues."
Red flag: "Nothing really" means low priority, won't pay.
REAL EXAMPLE:
Accounting firm discovery call (12 minutes total):
Q1: "Bookkeeper receives client invoices via email, opens each PDF, types data into QuickBooks, files in folder."
Q2: "About 80 invoices monthly, takes 10-12 minutes each."
Q3: "If we fall behind, client month-end closes are delayed. They threaten to switch accountants."
IMMEDIATE CALCULATION:
80 invoices × 12 min = 960 min = 16 hours monthly
16 hours × $30/hour = $480/month = $5,760/year wasted
High urgency (client retention risk)
MY RESPONSE:
"I can automate this completely. Invoices would go from email to QuickBooks automatically. Setup $1,800, maintenance $120/month. You'd save roughly $4,000 in year one. Want to see it work?"
