This kept happening to one of my clients and honestly, I have seen it in my own funnels too.
Leads fill out a form, show some interest, then silence.No replies. No clicks. Just crickets. After digging into it, I realized the problem was not the leads.It was the lack of a structured follow-up system. Here is what was missing:
- No consistent way to follow up
- No tracking to see who was engaged
- Manual emails that often got delayed or forgotten
I built a workflow in n8n to fix that
Main steps in the setup:
- Webhook captures new leads in real time
- Email and SMS sent on Day 1 using Gmail and Twilio
- Wait for 24 hours then send a follow-up email
- Wait for another 48 hours and check if the lead clicked the email
- If they clicked, they are tagged as interested
- If they did not click, they go through a re-engagement flow
What changed after this was implemented
- 40 percent more leads engaged with the follow-up emails
- 20 percent of cold leads became active again
- Client saved hours every week by removing manual messaging
