How I Use Gemini + NotebookLM to Speed Up Construction Project Delivery
I see a lot of people here using Claude (which is great), but I’ve been getting huge value from a different combo: Gemini + NotebookLM. I’m uploading a PDF with my full workflow, but here’s the quick version: - I use NotebookLM as a project brain — drawings, specs, geotech, contracts, minutes, and everything in one place. - Gemini handles the heavy lifting: - summarizing design constraints - comparing drawings vs specs - pulling schedule dependencies - drafting risk registers, scopes, and coordination notes - NotebookLM links every answer back to the exact page in the source, which is perfect for construction work where accuracy matters. This setup has cut my document‑hunting and admin time by more than half. Curious — has anyone else here tried Gemini or NotebookLM for construction? Most people default to Claude, but this workflow has been a real force multiplier for me. @Tim Fairley actually yes — Google rolled this out natively in December 2025, no API needed for most users. Inside the Gemini app, you just tap the + attachment icon and there's now a NotebookLM option directly in the list. Select your notebook and Gemini grounds its responses in your curated sources while still being able to search the web to fill gaps — best of both worlds. The key difference from using NotebookLM alone: NotebookLM is source-locked (it only knows what you uploaded), while Gemini hallucinates on its own. Combined, you get citation-grounded accuracy from your NotebookLM knowledge base + Gemini's reasoning and live web search on top. You can also save it as a Gem (custom Gemini assistant) with your notebook attached — so every time you open it, the context is already loaded. Useful for drafting risk registers and coordination notes repeatedly without re-uploading anything. For the API route (enterprise/programmatic): Google Cloud has a NotebookLM Enterprise API using Discovery Engine endpoints, but that's overkill unless you're building automated. pipelines. I'm keen to hear who everybody is, and what their goals are I assume you already know who I am. But if you don't I'm Tim. I worked for 8 years for big contractors on road, rail, renewable energy projects. I've always worked for head-contractors. I recently worked for some smaller contractors as a consultant when I left my job doing estimating and contract management. It was good, but I found it hard to see a path to scale (other than just starting a contracting business myself) So I instead decided to build software, and found that that's 100x harder than I thought and a very easy way to lose money

Hi everyone, I’m Ruben. I work in infrastructure and capital project delivery, currently supporting municipal projects in Ontario. My role focuses on coordinating the design and delivery of major public facilities, including a new transit garage project valued at over $100M. I also support regional asset management work, particularly around BIM quality, data migration, and lifecycle planning. Before moving into municipal work, I spent several years in Denmark with Arup and Novo Nordisk, where I worked on rail infrastructure, digital twins, BIM coordination, and large‑scale facility projects. Earlier in my career, I worked hands‑on in construction and fabrication, including welding structural components for the Eglinton Crosstown LRT. I also served in the Portuguese Marines, which shaped a lot of my discipline and approach to high‑pressure environments. I’m currently completing an MSc in Civil Engineering and working through several professional certifications in project management, asset management, and digital delivery. My goal now is to transition into the Australian infrastructure sector — and contribute to major transport or civil programs in roles involving project delivery, BIM coordination, or asset governance. Looking forward to connecting with others here and learning from the community.
