AI Receptionist for Medical Clinic in Ontario
Hey guys, I'm currently using Retell AI to build inbound receptionists for local companies for customer intake and booking them in for appointments / estimates / quotes. I was approached by a medical clinic owner in Ontario where I also operate from, to build this system for them. Now, my main concern is, I have been running around talking to loads of people about how to get compliant so that I can launch safely for them without getting sued or worrying about data breaches and the financial costs that come with it. We're very small right now, and I haven't got a clear answer about how to approach this. I spoke with the Retell AI team on a consultation call, and they said that they can provide me a custom BAA to ensure compliance for Ontario Healthcare (falling under PHIPA), but will that be all I need? I have heard about cyber insurance and was advised to purchase that, and to have documentation like a PIA and some governance frameworks to provide to my medical client as part of the transparency process within PHIPA. Has anyone in Canada / Ontario built AI receptionist for clinics or dentist officers or anything in the healthcare space? If so, I would love some direction and perhaps a kind of a checklist so that I'm setup to launch for this client. Am I on the right track here? Or am I overthinking this? Thanks guys

@Okasha Khan Exactly lol. I feel like I'm on the right track here, and I've made a pretty detailed checklist (still in progress). Once Retell AI can provide the custom BAA, I'm all set on their end. But my client wants to hook it up to a Google Sheets instead of their EMR directly, so now I gotta figure out a way to make that compliant. It never ends lol..

@M Roman Adnan Still working on it, currently just waiting on Retell to provide their BAA, and looking into getting Google Sheets compliant for this workflow.
Best Vertical For AI Voice Agents?
It's in the title! What are your thoughts on the best verticals to target when selling AI voice agents like inbound receptionists to help with bookings? I know the medical industry (primary care clinics, med spas, dentist's offices) has a very high-demand to replace traditional receptionists with AI due to heavy call volumes, poor reliability on human accuracy, training time, and sometimes needing to fire and rehire. What other sectors / niches face similar pain points that an AI voice agent could help with?

@Swastik M That makes sense. I'm seeing a lot of use case in home services like you mentioned, even with plumbing and roofing companies.

@Chetan Mishra True. I suppose real estate is a good niche to enter, but yeah, probably many back to back conversations before conversion.
Honest question for anyone who's landed their first client:
What actually got them to say yes? Not what you pitched. Not your offer. The actual moment they decided to trust you. For me it was showing a real result, not talking about what I could do. The moment I stopped explaining the system and just showed the numbers, conversations got shorter and closes got faster. Curious if others had a similar turning point or if it looked completely different for you.

For me, it was essentially providing value upfront before locking in an agreement or a price. I showed my first client a demo of what I could build for them, got their feedback, refined the idea further, and only then did we lock in a price that could work for the both of us.
Retell AI for Ontario Clinics (PHIPA)
Hey everyone, I'm getting started with building AI receptionists for companies in the healthcare industry (clinics, dentists, med spas, etc...). I've been approached by a clinic owner to build them this system to help out their staff and reduce overload. This system will include answering general questions, qualifying patients under a certain category (new, existing, other categories based on their status in Ontario if applicable), and essentially booking them in to their EMR software. Wondering if anyone in Ontario is currently providing similar services in healthcare or has done so in the past and how you've made yourself PHIPA compliant - from the tech stack you're using down to your business structure (did you have to get cyber insurance at the start, registration, documentation, BAA's, etc..)? Thanks!
Sell This System for $$$ to any business
I just built an AI receptionist that actually books (built in 30 mins) and I would like to share it with you as some free value. You can go on to sell this. Its the most simple automation you could build but its so valuable for most people. Sometimes its the simplicity that sells. 😅 been playing with voice agents again. spun up a phone receptionist that books appointments end-to-end. no code. about 30 minutes setup. tools stack: - cal.com (event + availability) - google calendar (where it lands) - retail ai voice agent (the caller-facing bot + phone number) what it does - takes calls for any business (think dental clinics, hotels, salons etc) - checks availability calendar without api (inbuilt within retell) - books - reschedules - prints money🤣 how to sell this (and justify $$$ quickly) - who: dentists, med spas, salons, gyms, “one receptionist” clinics, home services - lead with missed-call math: - most small clinics miss 10–30% of calls (lunch, after-hours, weekends) - if their avg booking is $100–$300, 3 extra bookings/mo covers your fee - positioning: - “24/7 receptionist that never misses, books straight into your calendar, confirms via SMS” - “keeps your front desk free for in-person patients” - “we don’t replace your team, we catch what they miss” - offer: - setup: $500–$1.5k per location (done-for-you config, prompts, testing, number) - monthly: $200–$600 + usage at cost (voice minutes) - 14-day trial with a tracking sheet: calls → bookings → value - fast wins to include: - missed-call text-back: “sorry we missed you, want me to book you in?” → link or auto-call - SMS/email confirmations + reminders (cal.com native) - basic knowledge base: pricing, location, parking - after-hours only mode (if they’re nervous to go full-time) how i built it (fast)\ (BTW i have shown it in a video here https://www.youtube.com/watch?v=NeDPUt67ZyQ&t) - create event type in cal.com (duration, timezone, buffers, working hours)

Quick question, if you're building this in the healthcare space like dentist offices, how did you go through the compliance process, depending on the country / state / province you're in? I'm kind of stuck trying to figure that out and wondering if that's a problem you faced earlier as well?
