Anyone found a native way to see daily task activity for a whole team in GHL?
Hey Skool fam 👋 Curious if anyone in this group has run into this: we manage a CRM for a client with multiple setters/SDRs working the same pipeline. Every new lead kicks off 2 daily tasks (morning call / afternoon call), each one logged with a note once the setter completes it. The client's ask is simple on paper — "show me how many tasks each person on the team knocked out today" — but turns out there's no single native screen for that. Contacts → Tasks lets you filter by Assignee + Due Date + Status, which works great, just one person at a time. Agent Reporting would give a per-user breakdown too, but only if you're routing calls through GHL's native telephony (Twilio/LC Phone) — which this client isn't using, so that route's off the table. Has anyone in the Technical Implementation crowd cracked this without bolting on Sheets/Zapier/etc.? Or is "filter one setter at a time" just the accepted workaround for now? Appreciate any pointers 🙏
@Sami Ullah Thanks for the detailed suggestion, Sami! I dug into it and hit a wall worth sharing back with the group. Confirmed with GHL support docs: within the native visual workflow builder, EVERY action (Math Operation, Add to Workflow, Lead Scoring included) is scoped strictly to the contact that triggered the workflow. There's no native action that lets you update a field, add to another workflow, or bump a score on a DIFFERENT specific contact (like a per-setter "counter" record) — confirmed this isn't just a Math Operation limitation, it's how the automation engine works across the board. The only way around it is via the API (search the target contact, then update/enroll it programmatically) — which works, but at that point it's no longer a no-code native solution, it's a small script someone has to maintain. Curious if you'd hit this same wall in your own build, or if there's a native trick I'm missing (custom objects maybe?) — genuinely want to know if there's a way to do this without stepping outside the visual builder.
Hey @Sami Ullah , wanted to follow up and say thank you — your idea was spot on and saved us a lot of guesswork. We went with the Custom Object approach exactly as you suggested: created a "Setter" object, set up the Relationship with Contact, and backfilled ~1,200 existing contacts into it. Works well. One thing worth sharing in case it helps anyone else who tries this: neither of the native "Custom Objects" workflow actions actually does what you'd expect for NEW leads. "Create associated record" creates a brand new object record instead of linking to an existing one, and "Update associated record" only touches relationships that already exist — it won't create the link for a lead that doesn't have one yet. So for leads coming in fresh (from ad campaigns, forms, etc.), we ended up routing a webhook out to n8n right after the assignment step, which creates the association via the API directly. Once that link exists, the native "Update associated record" action works exactly as you described for the daily counter. So the short version: your suggestion was the right foundation, we just had to add one small piece outside the workflow builder to cover brand-new leads. Really appreciate you taking the time to think it through with us — this kind of exchange is exactly why this community is worth being in.
