Client Communication + Activity Delegation
Hello! We’re currently refining our Ops structure and looking to improve efficiency, and I’d love to get some input on a couple of areas: 1. We’re considering setting up a centralized “operations@...” email and a dedicated operations phone number for all client communication, rather than having messages come from multiple Ops Associates' emails/phone numbers. Does anyone use a system like this? What are the pros and cons? Have you run into any challenges — like emails getting missed — when managing a shared inbox? 2. We’re also working to better leverage activities/workflows in our processes (we use Redtail). For teams that use activities to manage requests between advisors and operations, how do you handle task delegation among multiple Ops Associates in a centralized operations structure?

@Becky Adams first two pics are some of my activity templates, which are typically completed by one person at one time. i would use those for the small stuff. my main workflows are strategy meetings, client onboarding and account opening. my account opening workflows are fairly involved since they also cover funding, investing, linking to planning software, online portal, updating redtail, etc.

@Becky Adams you could always start with a shared inbox but have one person check it and assign tasks to the team. i haven't done this, but i'm sure you could set up folders for messages that have been responded to
Data Gathering
Hello! What are your firms using for data gathering? We would like to collect the data and have the client attest or sign the information is true and valid. I know this information is entered in the CRM and I know it is entered in the custodian’ platforms for account opening as well but we would like to store that date gathering signed document on our side (not the custodian’ platform). Thanks.

PreciseFP is great! It integrates with Redtail and eMoney, among others. The client/you only have to input data once for the most part.
Activity Template vs. Workflow
I'm looking for feedback on the use of an activity template vs. workflow in RedTail specifically in small offices. I see huge value in workflows for larger offices where one person takes the call from a client who requests a distribution and someone else is the one to place the trades and someone else actually processes the money movement request, etc.. Does the same value exist for a small office to use workflows? Right now I'm using an activity template with the different pieces in there and think it meets our needs but I also don't want to overlook a feature if it will have a huge impact. Thanks in advance for any feedback!

I'm a solo with no assistant and I use both. Workflows are multiple steps over multiple days and activity templates are for simpler tasks that fall into 3 categories: client service (change of address, new job, update beneficiary, etc) meetings (agendas for clients, prospects and COIs) and planning (buy a home, life insurance analysis, retirement, sell a business, review a tax return, etc.) My most used workflows are new client onboarding, account opening, new financial planning client, strategy meetings, and less often things like death and divorce. Workflows are helpful for me because they are time-based and can have multiple open tasks at once, but they will be even more powerful in the future when I plug in staff and other advisors. I would say they are a must for more than one person.
GReminders, PreciseFP, Redtail
Anybody use all three? We presently use Redcapture which does not collect all the data we need. We want to have something that will fill all the fields we need into Redtail including beneficiary information. I have seen how FP integrates with Redtail and how GReminders integrates. Can anyone comment on how the three would all integrate if you use?
