Build the Business. Don’t Become the Business. 🏗️
Something I’ve noticed after working with business owners across different industries is that the ones who eventually build something sustainable usually have one thing in common: They genuinely care about what they’re building. They care about their customers. They care about their reputation. They care about their team. And they care about getting the business right. But caring about the business doesn’t mean you should be the person handling every follow-up, admin task, customer message, or operational detail. That’s where a lot of good businesses get stuck. The owner becomes the person everyone depends on, even when systems and automation are already in place. I’ve always believed the right support isn’t about finding someone to simply “do tasks.” It’s about finding someone who can take ownership of the work and treat the business with the same level of care. Whether you’re building an eCom brand, growing a service business, or using AI to scale your operations, that human execution layer still matters. Systems create leverage. The right people make that leverage actually work. 💯

💯 it’s taken me 6 years too realize that. My partner is a little sore too come around so I just keep making improvements to our systems without her and then shoes then too her when it’s done
Whats your Tech Stack?
Curious what everyone’s running. Here’s mine: • JobTread — PM, estimating, budgets, and the file system: plans, drawings, receipts, job docs all live here • QuickBooks — accounting • Notion — business brain / SOPs + cost history • Airtable — Contractor OS data layer • Claude / ChatGPT — the glue. Skills + MCP connectors so I’m not re-entering the same data three times Google Drive is still in there, but honestly it’s redundant — it only exists as a staging spot until I get receipt capture running properly through the agents. Once that’s clean it comes out. What are you running — and what’s sitting in your stack that you know you don’t actually need?

Not sure if I am doing this correctly, but my tech stack is - JobNimbus - CRM that handles from the initial lead, appointments, communication with suppliers, subs, and clients, estimating, invoicing, project management, budgeting - CompanyCam - quality photo taking that integrates with JN - Pool Studio for designing - Quickbooks - accounting - Google drive/sheets/docs - for sharing throughout the company - Make.com for automations - Claude to build my automations and any other type of table or report or SOP, and my htmls hosted by Github I feel like I am missing something

@Sam Ferguson what are you trying to accomplish with the receipt capture? I was spending so much time just entering invoices in QB that I had Claude create an automation to scan my inbox a fw times a day and any email that said invoice, it would send it to QB using the email that QB has. Then I would go into the Review tab on invoices and categorize them from there. I was also having an issue with budgets in JobNimbus (your job tread ) and having to manually enter them into JN since QB wouldnt sync expenses. It does now, finally. But Claude was able to create an automation that pushed expenses per job into JN as a work order so I could see at a glance how much the job was costing, which was faster and easier then going into QB and reentering them.

@Victor Adeleye the operation side, the handoff side, is the next thing I need to work on. It's probably even more important than estimating because I can sell jobs all day long, but if we don't know what to do with them once we sell them, it's going to be a mess. I am working on creating an onboarding form for the office and the salespeople to fill out collectively. It provides all the information about the job that anybody could possibly need, including details like: - gate codes - fence codes - whether they have dogs - which client is the main person to talk to - any little thing that needs to go in multiple places as well We fill out the information on the form, and it goes into its designated fields in our CRM program. From there, we can automate the work orders and the tasks being created because the information is already put in somewhere. When the work orders are created, that information is on them from the very beginning. That's my next step: the onboarding form. and figuring out the following: What is the best way to create it, what format should I use to make it very user-friendly, and how can I tie it back into our CRM to fill in all the information once, not 10 times?
Ai in construction
Hey what's up guys, Moe here. I'm really big on using AI in construction and I had some questions for those more experienced in the field (construction) - Do you guys do progress reports or know anyone that does? - if so, how often (is it daily?) - How long does it usually take? and how do you take it? (typing, calling, etc..) I've been looking online for an answer, cant really find anything useful, so I thought I'd ask y'all! Thanks!

When you say “site diary,” are you talking about project managers or supervisors, or anything like that, making daily notes about what's been going on with the job during their visit? I'm trying to figure it out because I guess our CRM program allows us to do that. My guys are required to take pictures and make notes every time they step foot on a job site. We also use a product called Company Cam, which was mainly geared to take pictures, but it allows really cool walkthrough notes. You can talk to the app while you're walking and taking pictures at the same time. When you comment about the picture you just took, it can create multiple reports with those pictures or turn around and create a daily report to send to your builders. It's a cool concept, and I just wish they worked better together. I honestly would probably love to create a CRM that was a combination of about two or three products that I use right now.

Hey everybody, thought I would kick off a new post for August. What are your goals for this month and what are you trying to get out of the community? Mine are pretty simple and straightforward 1. Keep experimenting with AI and sharing what I'm learning 2. Keep making a ton of youtube videos 3. Keep learning about construction project management and working out the best way to deliver projects and run a construction business Keen to hear what you're goals are and what you want to get out of the community

just joined this group, but my goals are pretty much the same goals every month and that is to 1- continue to find ways to streamline our processes and create SOP‘s across our different programs that we use. 2 - I’m always looking for faster and easier ways to get estimates out quicker. We do create some pretty customized estimates and our design program does not allow for sharing information. 1. I’m also always on the lookout for new techniques or ways to automate our daily repetitive tasks the help the entire company run more efficiently.

@Tim Fairley We use Pool Studio, through Structure Studios. They do not play well with others. I can export to an AutoCAD DFW (*(.dxf) file but I think when I tried to use it before, the information wasn't really there to read . I can export to Pdf, somethng called DE3d Proejct Packs (*.ssproj) this might be pool studio specific.
