An annual budget shows whether expected revenue should cover expenses overall. However, it may not clearly show when the money will arrive and when payments must be made.
That timing gap can force nonprofits to delay hiring, postpone program activities, slow vendor payments, or temporarily rely on unrestricted funds.
Leadership and board members should regularly review:
• When funding is expected to arrive
• Whether grants and reimbursements are delayed
• Whether pledges are being collected on schedule
• How much unrestricted cash is available
• Whether upcoming payroll and vendor payments are covered
• Whether reserves can support temporary funding gaps
• Whether restricted funds are being used appropriately
Good cash flow planning helps leadership understand what is available today, what is expected later, and where financial pressure may arise.
Do not plan around annual totals alone.
