A quick but important note for coaches working internationally
If you work with clients in the UK or Europe, collect client information online, run email lists, use intake forms, store coaching notes, or process personal data in any way, it’s worth exploring whether GDPR requirements apply to your business and whether you may need a UK or EU Representative.
This is something many coaches completely overlook because they assume GDPR only applies to businesses physically located in Europe. That’s not necessarily the case.
Depending on:
• where your clients are located
• whether you market to UK/EU audiences
• the type of data you collect
• the tools and platforms you use
• whether you monitor behaviour online
…you may have additional compliance obligations, even as a solo coach or small business owner.
This is particularly important for coaches using:
• online booking systems
• CRMs
• email marketing platforms
• assessments or diagnostic tools
• AI tools
• client portals
• coaching notes or recordings
Please don’t panic or assume you’re doing something wrong. This is simply part of operating professionally in an increasingly global online business environment.
It’s also important not to blindly copy what other coaches are doing. A lot of coaches have privacy policies and terms that are incomplete, outdated, or don’t actually match how they run their business.
A few areas worth reviewing:
✔ Privacy Policy
✔ Terms & Conditions
✔ Data storage and retention
✔ Client consent processes
✔ AI usage disclosures
✔ Cookie policies
✔ International data transfers
✔ Whether a UK/EU Representative may be required
