An automated quotation system
Creating quotations manually is a time consuming task, especially when your team have to create more than 10 quotations per day using spreadsheets and doc templates..
They first need to read the requirements, copy the requirements into their quotation template, find prices from their database, enter details of client, create a PDF document, email it to the client, save the PDF into their database...
Ray Wind Energy was facing the same problem in their business...
Their team had to create multiple estimates per day each day so we created an automated quotation system for them..
They would direct their traffic to a Tally form, which we also embedded on their website..
Once clients fill the form with their requirements, a new Google Sheet row is added with all the requirements and information of clients..
The same Google Sheet contains their pricing and a cost calculator...
Once the new row is added, it triggers the automation.
→ The automation receives the data of the newly added row
→ Passes it to the cost calculator
→ Once the cost is calculated based on the requirements, the automation passes all the information to a google doc
→ Creates a quotation PDF
→ Emails the quotation PDF to the customer
All of that is done within a single minute without any human intervention...
Nothing changed, just the process which used to take hours of manual human work now gets done within a single minute automatically..
The key here is to understand the mechanism of the automation..
The automation is not limited to creating quotations..
Any job which requires manually copy pasting data into spreadsheets/doc files from emails/PDFs/other spreadsheets or doc files on a repetitive basis can be automated...
