How I Helped a Business Owner Automate His Telegram Appointment System Using n8n

Most business owners don’t realize how much time they lose replying to clients manually, until automation shows them what “free time” actually feels like.

Ever felt buried in endless Telegram messages, trying to manually schedule appointments while keeping track of every detail?

That’s exactly what my client was facing before reaching out.

He wanted a simpler, smarter way to manage his Telegram inquiries and turn them into confirmed appointments, without all the back-and-forths.

The goal was clear:

✅ Listen to incoming Telegram messages (text or voice)

✅ Understand client intent

✅ Book meetings automatically in Google Calendar

✅ Send confirmations via Gmail

✅ Store everything neatly in Airtable

Using n8n, I connected Telegram, OpenAI, Google Calendar, Gmail, and Airtable into one seamless system.

The most interesting part was handling both voice and text messages.

I added a Switch node to detect message type, audio goes through transcription before it’s processed by the AI Agent, ensuring nothing gets missed or misunderstood.

After setup, my client’s Telegram became an automated scheduling assistant, one that replies instantly, books meetings, and stays organized 24/7.

This kind of system is a time-saver for consultants, agencies, coaches, real estate professionals, and salons, anyone who handles daily client bookings.
