How I Built a Telegram Appointment Setter That Works Like a Real Assistant

Ever wished you could handle all your client bookings automatically, without missing a single message or appointment? That’s exactly what my client wanted to achieve.

He was struggling to manage incoming messages on Telegram, potential clients would send inquiries, some would send voice notes, and keeping track of appointments manually became chaotic. He needed a seamless way to reply, capture details, and automatically schedule meetings.

I built this automation using n8n, integrating Telegram, OpenAI, Airtable, Gmail, and Google Calendar. The workflow starts with a Telegram trigger, detects if the message is text or audio, transcribes recordings, processes them through an AI agent, searches or updates Airtable records, sends confirmations via Gmail, and books events directly into Google Calendar, all hands-free.

One of the toughest parts was getting accurate audio transcriptions and smooth message handling in multiple formats. After some fine-tuning and conditional logic in n8n, it all clicked perfectly.

The result? My client now saves hours daily, never misses a booking, and his communication feels faster and more professional.
