This is the actual note that went into our system a few days ago. Names removed.
06/25/2026, Seller appointment, 2:00 PM. Did not follow instructions. Missed the 2nd witness on the deed. Slow to upload the scanbacks. No response to messages. No answer to calls. Did not drop off on time. DNU. DNU means Do Not Use. That notary will not work with us again. Now look at that list one more time, because here is the part most notaries miss. It was not ONE thing. A missing witness on a deed is a serious mistake, yes. But that one is fixable, IF you pick up the phone. Late scanbacks slow us down, but we can manage it, IF you tell us what is happening. Even a delay on drop off has a solution, IF you answer. Do you see the pattern? Every single one of those problems had a way out. And the way out was always the same. COMMUNICATION. What ended this relationship was not the witness. It was the silence. The moment a notary goes dark on us, we lose the one thing that lets us protect the file, protect the client, and protect YOU. We cannot fix what we cannot reach. So I want to be honest with you, because I would rather you hear it from me than learn it the hard way. Reliability is not about being perfect. None of us are. Reliability is about being REACHABLE when something goes sideways. The notaries we call again and again are not the ones who never make a mistake. They are the ones who answer the phone when they do. 🙏🏻 Be honest with yourself for a second. When a signing gets messy, are you the notary who picks up, or the one who goes quiet?

I pick up. If I make a mistake I correct it. Question though. I scan back immediately however it takes the SS over an hour to get back to me. Why is it? I scan back at the table so I am sitting there waiting and taking up the signers time and my time. This happens all the time.
Scams
Good morning everyone. I am sure everyone is seeing the scams that are going around for notaries and wedding officiants. I am not sure if anyone posted it on here but I wanted everyone to be aware. The other day I received 5 and 4 of which were through Find a Notary and 1 was through text message. Yesterday I received more through email. This is getting to be insane. The message starts out by requesting notarizations with very little information to pull you in. Once you reply they then will tell you they want that zoom call. Please don't fall for it. Someone on one of the notary FB groups did and she got a virus that wiped out everything. I am not sure what we can do as they seem legit and no one wants to pass up a job. How many others have experienced this?

I spoke to the NNA yesterday and was told they just found out about this and they have alerted the authorities. The NNA's IT dept is working on a solution as well.

@Jeffrey Clark It's a scam so no solution but just don't reply.
📦 Quick Poll.
You have a Buyer Package scheduled for 3:30 PM. No delays were reported. The last FedEx pickup in your area is 7:30 PM. Do you believe that's enough time to complete the signing, scan the documents, and make the drop-off on time? Let's see where everyone stands on this one.

If I scan back at the table the wait time can be an hour but I still have enough time to get to the drop off.

@Jeffrey Clark lol that’s not the issue. The issue is the SS is who I’m waiting on.

@Christopher Carman thank you
My new website is live, and I want your honest feedback
Hey NBG family 👋 I wanted to share something with you before anyone else. After months of work, I just launched the new website for my signing service: www.theclosingsigningservice.com I'm sharing it because I know many of you are building your own notary businesses and I get how it feels to sit down and think "how do I want the world to see me?" If you visit it, I'd love to hear your thoughts. What you liked, what caught your eye, what you'd do differently. And if any of you are stuck on your own website or branding, drop a comment below and let's figure it out together.
