The Clean Desk and Clear Screen policy is a good thing, but it requires a mindset change at the initial stages. At my workplace, we have reviewed current practices and identified key security gaps. To address these, we will implement simple Clean Desk Guidelines: 1. Keep desks clear of sensitive materials when not in use. 2. Secure documents in locked storage. 3. Lock computer screens when away. 4. Clear desks at the end of each day. We will educate employees on the importance of information security, confidentiality, and enhancing productivity through this initiative.

Developing a dashboard of Key Performance Indicators (KPIs) allows you to constantly measure the health, adoption, and success of your information governance program. Delivering a monthly RIM metrics report provides executives with the undeniable data they need to justify continued investment in your department. 1. What are the top three metrics you would use to prove to your CEO that your records management program is highly successful? 2. Do you currently have a reliable way to track the volume of records that are defensibly destroyed each quarter? Action Item: Define three specific KPIs you will track next month to measure the success of your RIM program.

The 3 specific metrics would be on: 1. Efficiency Ratio. This metric measures how quickly and efficiently records are processed, including turnaround time (TAT) for retrievals and information requests.Shows staff productivity, cost-effectiveness, and whether resources (registry staff, time, EDRMS, storage space, etc.) are being used effectively. 2. Error Rate during Indexing. This KPI surely tracks mistakes made during indexing, with a target of zero (0%) errors to avoid misclassification, loss of information, and delays in retrieval. It indicates the level of risk, data accuracy, and compliance, ofcourse fewer errors mean fewer audit and legal issues. 3. Number of Files Digitized. This counts records digitized and uploaded to the repository. This metric shows clear progress in digitization per department, library, function, etc, hence improving access to information, and demonstrates value from system investments.
