NJNA Advocacy Efforts Continue with Constructive State Discussions
Dear Valued NJNA Members: Earlier today, June 10, 2026, representatives of the New Jersey Notary Association met with officials from the New Jersey Treasury, Division of Revenue and Enterprise Services, to discuss concerns regarding the current state of New Jersey's notary education and examination program. We are pleased to report that the discussion was productive, professional, and well received. Our concerns were heard and thoughtfully considered, and a mutual commitment was made to continue these discussions with the shared goal of identifying opportunities for improvement. We view this as a positive development and an important step forward for New Jersey's notarial community. While it is still early in the process, I am encouraged by the dialogue that has been established and the willingness of all parties to work collaboratively toward solutions. As additional information becomes available, we will share updates with you. I would also like to take this opportunity to thank our members for your continued support of NJNA, your dedication to the office of Notary Public, and your commitment to providing compliant, professional, and effective services to the residents of New Jersey. This commitment to excellence helps strengthen public trust in the notarial profession and reinforces the important role notaries play throughout our state. As we move forward, our primary mission remains unchanged. The New Jersey Notary Association exists to educate New Jersey notaries, provide worthwhile and practical educational content, and serve as a trusted resource when questions arise. Whether through training programs, reference materials, member discussions, or direct assistance, we remain committed to helping notaries perform their duties with confidence, competence, and compliance. We also welcome feedback, suggestions, and concerns from our members. NJNA is committed to ensuring that the voices of New Jersey notaries are heard and that legitimate concerns affecting our profession receive appropriate attention. While we may not always have immediate answers or solutions, we will continue to listen, advocate, and engage in constructive dialogue on behalf of the notarial community. Loan packages
I'm looking for a short list of the docs for the different kinds of real estate packages for NJ specifically. Ideally a sheet for each kind of package that I can go through so I can be sure I have all the standard fillins covered. From different posts, I have a breakdown of the average pages in the different packages. Thanks!

Hi Sandra, Loan packages can vary significantly from one lender, title company, or signing service to another. Because of that, there really isn't a reliable "standard" checklist for every package type. For example, two lenders may include a document with the same title, but the documents themselves may be completely different. One version might be six pages long, require initials on every page, and only need signatures on the final page. Another lender's version of the same document title might be a single page that requires signatures and notarization. This is why experienced signing agents focus less on memorizing document lists and more on carefully reviewing each package before the appointment. Every package should be checked page by page to identify signature lines, initials, dates, witnesses (if applicable), and notarizations. Many title companies also provide closing instructions that identify documents requiring special attention. Over time, you'll notice that certain documents appear frequently, such as the Closing Disclosure, Note, Mortgage, Right to Cancel, Occupancy Affidavit, and various lender affidavits. However, the content, length, and signing requirements for these documents can differ from one transaction to the next. The best approach is to develop a consistent pre-closing review process rather than relying on a standardized document checklist.

The use of the State Seal is limited by law to the officials in specific office: N.J.S.A. 52:2-3, "Persons authorized to use the Great Seal," "The Governor of the State, the head of any principal executive department of the State, the members of the Legislature of the State, the former members of the Legislature of the State as provided in section 2 of P.L.1999, c.374 (C.39:3-27.115), the Justices of the Supreme Court, the judges of the Superior Court, the county prosecutors, county clerks, surrogates and sheriffs, the Secretary of the Senate, the Clerk of the General Assembly and members of the Congress of the United States... are authorized to use, exhibit and display the Great Seal of the State of New Jersey..." Notice that notaries public are not included in the list of persons authorized to use the Great Seal. More importantly, N.J.S.A. 52:2-4 provides: "Any person who is not authorized by law to use, exhibit or display the State Seal, who uses, exhibits or displays the Great Seal of the State of New Jersey, in whole or in part, is a disorderly person..."
E&O Insurance.
Hi all! I'm new. I received my commission and have the NNA cert. Can you tell me what insurance you have and how much? What the coverage is? From the NJNA book, it has information about the coverage and just feeling a little unsure as to what insurance would cover my needs as an independent loan signing agent. Thank you!

Ms. Choi! You're surely hitting all the tough questions! Kudos to you! I can't say anything for certain just yet, but I have been working behind the scenes to identify a reputable New Jersey-based insurance company that may be interested in partnering with the New Jersey Notary Association to offer Errors & Omissions (E&O) insurance to our members. These discussions are still ongoing, and I hope to have an announcement before the end of June 2026. Our criteria for selecting an insurance partner are very specific. We are looking for a company that: • Is headquartered and operated in New Jersey. • Has an established reputation and a proven history of serving New Jersey businesses. • Maintains strong customer service standards. • Has a favorable Better Business Bureau rating and complaint history. • Understands the unique needs and risks associated with notarial services. • Is willing to offer a meaningful discount or other benefit exclusively to NJNA members. One thing I can share is that NJNA is not seeking referral commissions, kickbacks, or sales incentives. In many industries, referral payments can create a "pay-to-play" environment where vendors are recommended because they are willing to compensate the referring organization, rather than because they have earned that recommendation through quality products, exceptional service, and positive business practices. That is not how NJNA operates, nor will it ever (under my watch!) The goal is to identify reputable companies that provide genuine value to New Jersey notaries. If a potential insurance partner is willing to offer a 10% referral payment back to the association, I would much rather see that savings go directly into the pockets of our members than into the Association's bank account. Any partnership we establish will be based on reputation, service, value, and a demonstrated commitment to treating our members fairly. Our responsibility is to do what is right for the membership, not what is best for the Association's wallet.

NJNA Members, I'm excited to start planning our very first in-person NJNA meetup and social networking event! Before we begin organizing, we’d love to hear from everyone: • Would you be interested in attending an NJNA meetup? • Do you have suggestions for a location that would be fairly central for members across New Jersey? • Is there a preferred day of the week that works best for you? (Weeknight, weekend, etc.) Our goal is to create an opportunity for NJ notaries to connect, network, share experiences, and build relationships within the community. Once we gather feedback from the group, we’ll get started planning the first official NJNA social and networking event. I'm looking forward to hearing your thoughts and suggestions, and I can't wait to meet the NJNA community in person! Patrick

Hello everyone! I wanted to provide a quick update on our search for a meeting location. I am currently in discussions with a public library in Mercer County (Trenton/Lawrencville area) that offers meeting space, and I believe this may be the best option for our first gathering. I have been hesitant to reserve space at a business, restaurant, or coffee shop for a couple of reasons. First, we have no way of knowing exactly how many notaries will attend, which makes reserving private space more challenging. Second, NJNA does not want to place any expectation on members or prospective members to purchase food or beverages simply to participate in networking and educational activities. With the rising costs of gas, groceries, utilities, and other everyday expenses, we want these events to remain accessible to everyone. Additionally, it would not be fair to a local business to occupy meeting space without any assurance that the business would benefit from hosting the event. To make these gatherings accessible to the greatest number of members, meetings will likely be held on Sunday afternoons. This schedule should allow working notaries from across the state the best opportunity to attend. I also want to clarify what these meetings are and are not. These gatherings are intended to be networking and educational events. They will provide an opportunity for New Jersey notaries to meet one another, build professional relationships, share experiences, and discuss topics relevant to the notarial profession. I also plan to include educational content at every meeting. For our first event, I am currently planning a presentation on the Unauthorized Practice of Law, including what it means, why it matters, and how notaries can avoid crossing the line. These meetings are not board meetings. There will be no motions, votes, elections, or formal governance activities. While NJNA welcomes feedback, suggestions, questions, and discussion on any topic important to our membership, these gatherings are intended solely for networking, professional development, and education. To put it bluntly, I have no interest in boring anyone to sleep! lol
