When AI Becomes Infrastructure, Resilience Matters
A useful reflection for me this morning. During my weekly founder review, I hit a small outage/update window just as I was relying on my AI workflow. Around the same time as a new model release, OpenAI’s status page also showed a brief period of increased errors/latency, which was subsequently resolved. Not a major issue, but it was a good reminder that as we start building more serious operating systems around AI, we also need to think about continuity and fallback options. For me, it triggered a simple operational review: What happens if my primary AI tool is temporarily unavailable?Where is my key context backed up?Can I continue working from another model, document, or workflow without losing momentum? The lesson is not to avoid relying on AI. It is to design our workflows with backup, recovery, and portability in mind. As these tools keep improving and updating quickly, resilience becomes part of the operating model. Curious how others are thinking about backup and continuity in their AI workflows. For a while, AI adoption inside organizations was talked about in broad, abstract ways. Leaders asked whether people were using the tools. Teams debated which platforms to roll out. Pilots were launched. Training sessions were scheduled. But a more useful question is now coming into focus. How are people actually using AI when they are left to solve real work problems in real conditions? That matters because adoption patterns reveal something very practical. They show where people naturally discover time savings first. And that is often far more valuable than top-down assumptions about where AI should matter most. The real opportunity is not simply increasing usage. It is learning from usage. If organizations can see where people are already reclaiming time, they can build around those patterns instead of forcing AI into workflows where it does not yet fit naturally. ------------- Context ------------- In the early stages of AI adoption, a lot of effort goes into access. Teams want to make sure people can use the tools, that they know what exists, and that the technology is available inside the organization. That is necessary, but access alone does not create leverage. What creates leverage is fit. People start to use AI regularly when it solves something painful enough, often enough, that the value becomes obvious in the flow of work. They use it where the blank page slows them down. Where repetitive admin is draining. Where searching takes too long. Where formatting, summarizing, drafting, or comparing create friction they already feel. These organic usage patterns are important because they reveal where time savings are real rather than theoretical. They show where the tool is not being used because someone was told to use it, but because it is genuinely reducing the cost of getting work done. That insight is powerful for any organization trying to build a better AI strategy. Instead of guessing where value might be, it can observe where time is already being reclaimed and use that as the foundation for better systems.

Really useful framing @Igor Pogany . I like the idea of looking at where people are already saving time rather than forcing AI into abstract use cases. For me, the interesting part is what happens next: once those small wins repeat, they can become SOPs, templates, automation, and even testing patterns. That’s where AI starts moving from personal productivity to operating leverage.
SOP's Are Becoming AI Operating Systems
I saw a great post in the alumni community about using AI to document SOPs and reduce the risk of everything living in the founder’s head. That really resonated with me. For founders, solo operators, and small business owners, so much of the business exists as tacit knowledge: how we think, decide, respond, prioritise, and handle exceptions. AI is starting to make that visible. My own learning has been similar. I’m using AI less as a one-off prompting tool and more as an operating layer for MVP development and project management.The key shift for me: - SOPs are not just documentation. They are the foundation for workflows, automation, delegation, and business resilience. The next layer though is testing. As AI starts supporting emails, estimates, project tasks, customer responses, or decisions, we need lightweight checks to make sure the workflow still behaves correctly after a prompt, SOP, CRM, or automation step changes.That is where smoke testing, regression checks, and automation testing become relevant, even for small business workflows.
