7:00 AM signing… and the notary caught something important
There were 2 borrowers on the file Most documents required both signatures But the notary noticed that the Owner/Seller Affidavit only had: •⁠ ⁠One borrower’s name •⁠ ⁠One signature line Instead of ignoring it, the notary messaged us before the signing. Since it was so early in the morning, title wasn’t available yet, so we made a judgment call: 👉 Print the document twice 👉 Execute one as-is 👉 Add a signature line on the second copy for the other borrower Later, when title responded, the signing was already completed… And they were VERY happy the notary caught it and went the extra mile! This is the kind of attention to detail that makes title companies trust notaries more and more. Not just signing documents blindly, but actually paying attention 👏

I decided to become a notary because I wanted to build something of my own while helping others at the same time. As an immigrant, I understand what it means to start over and work hard to create new opportunities. What began as a way to gain flexibility and earn additional income has grown into a profession that I truly love. Through the notary industry, I found the opportunity to serve my community during some of the most important moments in their lives—whether it's notarizing essential documents, assisting with loan signings and legal paperwork, or officiating wedding ceremonies and being part of a couple’s special day. Every signature, every document, and every ceremony represents a story and a level of trust that I deeply value. Today, I can honestly say that this profession has allowed me not only to build my own business, but also to make a positive impact in the lives of others, which is the most rewarding part of all.
The signing was moved earlier… and nobody knew 👀
The notary completed the signing earlier than scheduled… and neither title nor the signing service even knew it had already happened Then title sent: •⁠ ⁠A new Closing Disclosure •⁠ ⁠A new ALTA We immediately called the notary to let her know the documents had changed… And her response was: “I already finished the signing and I can’t go back.” This is exactly why schedule changes should NEVER happen without notifying the signing service first Because things can change at any moment before signing. One unapproved time change turned into a bigger issue.

For me, this highlights the importance of never making assumptions. Even if the signers are ready and want to move the appointment earlier, I always check with the title company or the signing service first. A simple call or message can prevent a lot of problems later. Clear communication should always come first.

This happens to us A LOT. Title sends the address they have on file We create the order with that information The notary goes to the location… And then the signer says: “Oh, I’m at a different address” Sometimes even in another city or state 😬 The notary gets upset with us and requests print/travel fees… But here’s the reality: No matter what address is on the order, the notary should ALWAYS confirm the FULL address directly with the signer before heading out We only know the information provided to us, the notary is the one speaking directly with the signer One confirmation call can save everyone a huge headache.

Even if the address is on the order, situations change: the signer may have moved, be staying somewhere else, or want to sign at a different location. That simple confirmation call can save time, unnecessary travel, and a lot of headaches On one occasion, I tried contacting the signer and got no response. The platform told me to still proceed, but right before leaving, a family member called to let me know the signer was still in Colombia due to visa/document issues and could not enter the U.S. I had already printed the documents, but it made no sense to drive to the appointment knowing the signing would not happen. I immediately informed the title company and kept clear communication with everyone involved. For me, the key is to never break the chain of communication, both with the platform assigning the order and with the signer. That makes our job much easier
Scheduled for 10 AM… confirmed for 4:30 PM 👀
We had a signing originally set for 10 AM But the notary confirmed it with the signers for 4:30 PM instead Later, the realtor complained to title saying: “The notary changed the time for her own convenience” The notary’s explanation? "The signers’ witness was only available at 4:30 PM” The real problem? ❌ The time was changed without checking with us first Even with a valid reason, changes like this need approval because title, realtor, and all parties may already be coordinating around the original time. 👉 Have you ever had a signer ask to change the time after the appointment was already confirmed? How did you handle it?

If a signer asks to change the time after the appointment is already confirmed, I never make the change on my own — even if the reason makes sense.I always contact title or the hiring party first and let them approve the new time before confirming anything with the signers. Sometimes everyone else involved is already coordinating around the original appointment:• Realtor• Loan officer• Title• Funding team• Witnesses A quick message can prevent misunderstandings and protect everyone involved
