Uncomfortable conversations with Staff...
We've all been there 😅 something needs to be said but we're afraid of hurting someone's feelings. So what do we do? We let it slide again, and again, and again, until it gets really bad! Who's fault is it? Unfortunately it's ours 🥲 Usually, it can normally be solved by a conversation, not necessarily a simple one, but a simple uncomfortable one. The amount of uncomfortable conversations I've had to have with staff is unreal, but after it's done, it's done. Not hanging over my head like a heavy cloud. Do you have, or have you had a heavy cloud like this hanging over your head? Maybe it just needs a conversation. Effective communication isn't just about talking or sending out messages; it's about ensuring that everyone—staff, students, and parents—understands their roles and what’s expected of them. This clarity can prevent misunderstandings and build a supportive and efficient environment. 🔑 Main point is: Clear expectations and open channels of communication foster a positive atmosphere where everyone knows what is needed and can perform at their best. For example, this could mean having detailed job descriptions for staff, clear policies for students, and regular updates for parents. A few things you could do to set boundaries and avoid these conversations are: 1. Define Roles and Responsibilities: Write down specific roles and responsibilities for all positions in your dance studio, including both teaching and administrative roles. 2. Develop Communication Policies: Establish how and when you communicate key information. This might include regular meetings, updates through email, or a bulletin board in the studio. (Top Tip: Make it very clear which 'category' of information is directed where and who is responsible for each channel - this could be as simple as having a Whatsapp group for each class, new inquiries and management) 3. Create a Feedback Culture: Encourage ongoing feedback from your team and your parents to improve communication. Make it known that their voices are valued and essential. You must be open to try new things that are suggested, some will work and some won't but it's important to practice to let your team know that they can speak out freely... Otherwise, they will let you do it all, and possibly still judge you for it.

For me having family as staff makes it easy to communicate with each other. But my daughter especially has struggled with me not being 'Mum' when we work so we have regular talks about that I do need to get our monthly staff meetings off the ground though (we keep planning then rearranging 😬)

@Ess Green thank you that would be great as sometimes with me having family as staff whenever we have managed to have a meeting we can also slip into discussing the latest family gossip 😂 which is not helpful obviously
Online systems
Hi guys, hope you’re all ok😊 I’m looking to move my payments on to an online system in 2025 and just wondering if anyone has any recommendations on what they use and what works best for them? Yeah I use class manager and recently had a demo with class4kids I didn’t change to them because 1. Classmanager was cheaper 2. Classmanager offers more (ie a portal shop/ recital manager/ zappier intergration) However I did prefer class4kids trial bookings as these are not the best set up with class manager at the minute but there is ways round it and they are looking into making it a smoother process I found class4kids to be more just about the classes and bookings where as Classmanager has point of sale, recital manager, leads, reports and automated surveys. 💜

For instance, one common scenario involves managing smaller, day-to-day operations such as inventory checks or routine communications with parents. By delegating these tasks, you can focus on larger strategic goals that enhance your business growth. Action Step: 1. Identify Tasks: Start by listing tasks that you currently handle but could be managed by someone else. Think about daily administrative duties, cleaning duties, simple student interactions, or even social media management. 2. Choose the Right Person: Assign these tasks to staff members who have shown reliability and a desire to take on more responsibility. 3. Provide Training and Resources: Ensure they have the tools and knowledge needed to succeed. This might mean a short training session or written instructions, or even a simple checklist. 4. Set Clear Expectations and Follow Up: Make sure they know what success looks like, and schedule regular check-ins to discuss progress and any challenges they're facing. Your team needs to know that you are going to make sure they are doing what has been agreed, but also that they have your support. Have you tried delegating more in your dance studio? I’m definitely getting more done now I don’t have spend hours on a reel that she can put together in 5 mins 😂 Phoebe is itching to take over more teaching and choreo too so that’s the goal for me to step back and do the business and my daughter and sister teach I’d also like a Receptionist/ Admin eventually too
