A lesson from building a job-costing automation: always pick a source of truth
Something I've learned building automations for small businesses: the biggest point of failure usually isn't the AI part, it's the handoff between tools. Example, a job-costing system I built recently pulled data from QuickBooks, a CRM, and payroll. The AI logic was the easy part. The real work was making sure data stayed in sync when someone updated a job in the CRM but not in QuickBooks, because that's exactly where automations quietly break and nobody notices until the numbers are wrong. My rule now: before automating a task, map out every place the same piece of data lives, and decide which one is the source of truth. Skipping that step is why so many automation projects look great in a demo and then fall apart within a week of real use. I do this kind of build work using Claude Code, mostly for real estate, recruitment, and service businesses. Not trying to sell anything here, just sharing what I've run into. Turning TikTok Data Into a Repeatable Growth System
Brian wanted a way to stop guessing what works on TikTok and start making decisions from real data. The goal was simple: find high-performing content patterns, break them down, and reuse what’s already working. My approach was to build an automated workflow that continuously pulls TikTok videos, filters them, and ranks them by performance. I structured it to loop through creators, scrape recent posts, check validity, and store only useful data. From there, videos are sorted by views and trimmed to top performers. I integrated Airtable for storage, Apify for scraping, and Gemini for analysis and file handling. Each video gets processed, analyzed, and turned into structured insights that can guide content decisions. The result is a system that runs on its own, surfaces winning content, and removes the manual effort. Instead of scrolling for hours, Brian now has a clear, data-backed direction on what to create next.

Before this project started, the client was overwhelmed. Student records were scattered, GPA calculations were manual, and tracking results felt messy and unreliable. He wanted one place where students, staff, and admins could log in and instantly see what mattered to them, without confusion. The goal was simple: create a student management system that actually feels easy to use. Something clean, secure, and structured, where roles are respected and data stays accurate. No bloated features, just what schools really need. I approached the project by first mapping the real workflow: how students check results, how profiles are updated, and how GPA is calculated behind the scenes. From there, I designed a clear landing page, role-based authentication, a student dashboard for academic overview, and a profile system that’s straightforward and editable. I used Lovable for rapid app development, clean UI components, and logic-based workflows to automate calculations and access control. One challenge was making the dashboard feel informative without overwhelming the user. I solved this by prioritizing key metrics and keeping layouts calm and focused. The result is SmartSMS, a system that saves time, reduces errors, and gives clarity. The client was genuinely relieved seeing everything finally organized and automated. His exact words were that it felt “like things are finally under control.” This kind of automation is perfect for schools, training centers, tutors, academies, and any education-focused business managing students and results.
