Agency told my client their integration "can't work with that CRM." Built it in 5 minutes. Been running flawlessly for 2 months.
Agency told my client their integration "can't work with that CRM." Built it in 5 minutes. Been running flawlessly for 2 months. THE REJECTION Client: "Need to connect our form to HubSpot" Agency: "Your HubSpot tier doesn't support API access" Client: "So it's impossible?" Agency: "Would need to upgrade HubSpot or rebuild your entire stack" Upgrade cost: $800/month more Rebuild quote: $12,000 Client making 4k/month revenue. THE REALITY CHECK Client calls me frustrated. Client: "Agency says my CRM tier won't work" Me: "What tier are you on?" Client: "Starter" Me: "That has API access" Client: "They said it doesn't" Me: "They're wrong. What do you need connected?" Client: "Just form submissions to CRM" Me: "Give me 5 minutes" THE BUILD Opened Skada AI. Connected form webhook. Connected HubSpot API. Mapped fields. 4 minutes 30 seconds later: Working. Tested with sample submission. Contact created in HubSpot. All fields populated correctly. Me: "It's done" Client: "You built it?" Me: "And tested it" THE TEST Client submitted 3 test leads. All appeared in HubSpot instantly. All data accurate. Client: "But the agency said..." Me: "The agency was wrong" THE TRUTH Starter tier limitations they claimed: - "No API access" (False - has API) - "Can't create contacts via automation" (False - literally the main feature) - "Requires Enterprise tier" (False - works on Starter) Why they said it wouldn't work? Either didn't know or wanted bigger project. THE SAVINGS Agency's solution: - HubSpot upgrade: $800/month - Stack rebuild: $12,000 - Annual cost: $21,600 My solution: - One-time build: $800 - No upgrades needed - Annual cost: $800 Savings: $20,800 first year TWO MONTH UPDATE - 847 leads processed - Zero failures - Zero manual entry - Still on Starter tier Client message: "I almost upgraded everything" THE AGENCY'S CALL Agency: "Heard you got it working" Client: "Yeah, works perfectly" Agency: "On Starter tier?" Client: "Yes" Agency: "That shouldn't be possible"
Client's vendor charged $9k to "fix" a broken workflow. I looked at it for 2 minutes and changed one setting. Fixed.
Client's vendor charged $9k to "fix" a broken workflow. I looked at it for 2 minutes and changed one setting. Fixed. THE CRISIS Client: "Workflow stopped sending emails" Vendor: "Need full system diagnostic" Client: "How long?" Vendor: "3-5 days to identify the issue" Quote: $9,000 Includes: Architecture review, code audit, integration testing Client panicking. Losing sales without email notifications. THE CALL Client: "Can you look at it?" Me: "Share access" 2 minutes later. Me: "Found it" Client: "The problem?" Me: "And fixed it" Client: "What? How?" Me: "I used Skada AI" THE ISSUE Email rate limit setting: 10 per hour Client's volume: 50+ per hour Emails queued up, never sent. Changed setting to 100 per hour. Backlog cleared in 6 minutes. Client: "That's it?" Me: "That's it" THE VENDOR'S PLAN Day 1: System architecture review Day 2: Email service audit Day 3: Integration diagnostics Day 4: Testing environment setup Day 5: Issue resolution What they would've found: Rate limit too low Time to fix: 10 seconds Time to bill: 5 days Cost: $9,000 THE TEST Client sent test emails. All delivered instantly. Client processed 87 emails in next hour. All sent perfectly. Client: "I almost paid $9k for this" THE VENDOR'S RESPONSE Client: "Issue is fixed" Vendor: "We haven't started the diagnostic yet" Client: "Someone else fixed it" Vendor: "Impossible, we need to complete our process" Client: "Emails are sending" Vendor: "That's just temporary" 3 weeks later: Still working perfectly. MY "DIAGNOSTIC" PROCESS 1. Look at the workflow 2. Check obvious things first 3. Usually find it in under 5 minutes Client paid me $500. Saved $8,500. Fixed in 2 minutes vs 5 days. THE PATTERN Found 6 similar cases this month: "Broken" workflow 1: Wrong timezone setting - 30 seconds "Broken" workflow 2: Expired API key - 1 minute "Broken" workflow 3: Incorrect field mapping - 45 seconds "Broken" workflow 4: Filter set too narrow - 20 seconds "Broken" workflow 5: Trigger disabled by accident - 15 seconds

Agency quoted $18k for a workflow they said "requires custom development." Built it in 7 minutes. Zero code.
Agency quoted $18k for a workflow they said "requires custom development." Built it in 7 minutes. Zero code. THE SETUP Client: "Need approval routing based on invoice amount" Agency response: "Requires custom backend logic" "Need database for approval rules" "API integration necessary" Quote: $18,000 Timeline: 6 weeks Client: "For approval routing?" Agency: "Complex conditional logic" THE CALL Client: "They said it needs developers" Me: "What does it need to do?" Client explains: - Invoice under $500: Auto-approve - $500-$5k: Manager approval - Over $5k: Director approval - Send notifications - Log decisions Me: "That's 3 conditions" Client: "They said it's complex" Me: "Give me 5 minutes" THE BUILD Opened Skada.ai Described the workflow. Generated in 4 minutes. Tested with sample invoices: - $200: Auto-approved ✓ - $2,000: Routed to manager ✓ - $8,000: Routed to director ✓ Total time: 7 minutes. Client: "That's it?" Me: "Want to see it process a real invoice?" THE TEST Client submits actual invoice for $3,400. Workflow triggers. Routes to manager. Manager gets Slack notification. Approves. System updates. Accounting notified. Works perfectly. Client: "The agency wanted 6 weeks for this" THE COMPARISON Agency plan: - Week 1-2: Requirements and architecture - Week 3-4: Development - Week 5: Testing - Week 6: Deployment - Cost: $18,000 My delivery: - Minute 1-3: Requirements - Minute 4-7: Build and test - Cost: $2,400 THE AGENCY'S RESPONSE Client: "We found another solution" Agency: "It won't be production-ready" Client: "Been running for 2 weeks" Agency: "What about edge cases?" Client: "Handled 247 invoices, zero issues" THE PATTERN Counted 9 similar cases last month. "Needs custom code" really means: - Needs IF statements (apparently "complex") - Needs data lookup (apparently "requires database") - Needs notifications (apparently "API integration") Average agency quote: $16,400 Average my build time: 8 minutes Average my cost: $2,800 CURRENT RECORD

@Kevin Farrugia the 18k kind of stories are still very regular, especially if clients pay for outcomes. Most of them have the budget but not the skill in stuff like Skada or n8n but i think it will get more and more democratized over the years (and cheaper)

Client paid their agency $31k over 4 months for "workflow optimization." I recreated everything from scratch in 67 minutes. Runs 4x faster.
Client paid their agency $31k over 4 months for "workflow optimization." I recreated everything from scratch in 67 minutes. Runs 4x faster. Sometimes starting over beats fixing broken things. THE PROBLEM Client: "Our workflows are getting slower" Agency: "You need our optimization package" Client: "What's that involve?" Agency: "Performance audit, code refactoring, architecture improvements" Cost: $31,000 Timeline: 4 months Month 1: Audit phase Month 2: Planning phase Month 3: Implementation Month 4: Testing and rollout Client paid. THE RESULTS After 4 months and $31k: - Workflows 12% faster - Three new bugs introduced - Monthly maintenance required - Additional $2k/month ongoing support Client called me: "This doesn't feel right" THE ANALYSIS Me: "Show me the workflows" Client shares access. I review their system. What I see: - 9 workflows - Overly complex routing - Redundant steps everywhere - Built like spaghetti code Me: "Your agency optimized this?" Client: "That's what they said" Me: "They polished a mess" THE SOLUTION Me: "Let me rebuild these from scratch" Client: "How long?" Me: "Give me an hour" Client: "For the estimate?" Me: "For the rebuild" THE REBUILD 1:00 PM - Open Skada.ai Workflow 1: Lead processing - Agency version: 24 nodes, 8 seconds - My version: Generated in 4 minutes, runs in 1.8 seconds Workflow 2: Order fulfillment - Agency version: 31 nodes, 12 seconds - My version: Generated in 6 minutes, runs in 2.4 seconds Workflow 3-9: Same pattern 2:07 PM - Done All 9 workflows rebuilt. All tested. All deployed. THE PERFORMANCE Agency's "optimized" workflows: - Average execution: 9.2 seconds - Error rate: 3.1% - Maintenance: Weekly updates needed My rebuilt workflows: - Average execution: 2.1 seconds - Error rate: 0.1% - Maintenance: None needed 4.4x faster. Built in 67 minutes. THE COMPARISON Agency approach: - Analyzed existing complexity - Added patches and fixes - "Optimized" inefficient structure - Charged $31,000 - Took 4 months

Agency charged $22k to "migrate" my client's workflows to a new system. I did it in 38 minutes during lunch.
Agency charged $22k to "migrate" my client's workflows to a new system. I did it in 38 minutes during lunch. Same workflows. Same functionality. Different timeline. THE SITUATION Client's existing platform shutting down in 60 days. Agency quote: - Full system migration: $22,000 - Timeline: 6-8 weeks - "Careful planning required" - "Complex data mapping" - Phased rollout approach Client panicking. THE CALL Client: "Can you migrate workflows faster?" Me: "How many workflows?" Client: "17 active workflows" Me: "What do they do?" Client lists them: - Lead routing - Email sequences - Data syncing - Report generation - Standard automation stuff Me: "I'll have them done today" Client: "The quote or the migration?" Me: "The migration" THE MIGRATION Started at 12:15 PM. Ordered a sandwich. Workflow 1: Customer intake - 2 minutes Workflow 2: Payment processing - 3 minutes Workflow 3: Report automation - 2 minutes Ate my sandwich between workflows 7 and 8. Workflow 17: Done at 12:53 PM. All 17 workflows rebuilt. All tested with client's data. All running in new system. Total time: 38 minutes. THE AGENCY'S APPROACH Week 1-2: Discovery and mapping Week 3-4: Development environment setup Week 5-6: Workflow recreation Week 7: Testing phase Week 8: Deployment and monitoring What they were actually doing: Manually rebuilding each workflow node by node. What I did: Described each workflow to Skada AI. Generated instantly. Deployed. THE COMPARISON Agency timeline: 6-8 weeks My timeline: 38 minutes Agency cost: $22,000 My cost: $6,500 Client saved: $15,500 and 7 weeks THE TEST Client: "They all work?" Me: "Run your normal operations" Client processes: - 14 new leads - 8 payment transactions - 3 automated reports - 22 email triggers Everything executed perfectly. Client: "This is actually faster than our old system" Me: "Yeah, new workflows are optimized" THE AGENCY'S RESPONSE Client called to cancel. Agency: "You can't migrate that fast" Client: "Already done" Agency: "Impossible without our planning phase"
