AI Voice Agent for a Cosmetic Clinic (Retell Hackathon Build) 🚀
Over the past 2 weeks I built an AI voice agent for a cosmetic clinic that operates across three locations in Amsterdam. The clinic often receives calls while treatments are in progress, which makes it difficult to answer consistently without interrupting patient care. So I built a voice agent that can: • check real appointment availability • create booking requests inside ClinicMinds CRM • verify bookings via SMS • route calls to reception when available • create callback requests when needed After two successful pilot builds, this project will become my first paying client deployment. The clinic is currently expanding and expects call volume to grow to around 20 calls per day in the coming months, so the goal is to have the system ready before that growth happens. The owner is very open to implementing new technology, which made this a great real-world use case to build and test with! Instead of building a demo, I focused on creating something that could actually be deployed in a real clinic environment. @MrsKate Cosmos Hi Kate, thanks for the reply! The voice interaction is alright, but not yet natural-sounding. The owner wants to implement this across all his locations so the voice has to be on point, so it’s a work in progress currently. I’m mostly trying out different providers like Cartesia and I’m thinking about recording the voice of the staff so it’s a lot of exprimenting! The edge cases are mostly solved with a lot of test calling, and letting the staff of the clinic call as well (they have their own questions of course so you try out more edge cases). Claude or chatgpt also works well, make it spit out some edge cases for you and go through the flow! The metrics I’m using to prove it works is mostly how many appointments there are getting booked in the CRM. If the agent succesfully books the appointment, it’s already a big win and will help out the clinic immensly (as they are trying to reduce workload on the phone).

Hi everyone 👋 Excited to join the hackathon! I’m currently focused on building AI voice agents for cosmetic clinics, and I’m working on a real-world case where the agent handles inbound calls, books appointments directly into the CRM (ClinicMinds), verifies callers via keypad input, sends SMS confirmations, creates callback requests and checks real-time office hours. The system is already functional in Dutch and about to launch in a real clinic environment. I’m now refining the setup and joining this hackathon to showcase how I built this solution and continue improving it! Looking forward to learning from everyone and seeing what you’re building! 🚀
