Jira Workflow/Scheme Configurations for larger scale orgs
Hey everyone! As I was brushing my teeth this morning (which is usually the time I'm most reflective), I wondered how other orgs that you guys work in or have consulted with like to manage your workflows and schemes? I've worked in both a very disciplined and totally chaotic environments, and really see how essential it is to have consistency across teams. In the past, we have leveraged that by having a single scheme and workflow across multiple spaces (and with some minor exceptions for non tech teams kept a like for like mirror image of those items with some minor adjustments based on their individual team needs) But on the flip-side, if you need to put mandatory fields or validations on workflows to improve the discipline of some teams but not others, would you feel that having several duplicate schemes works best in these regards? Or do you just apply a one size fits all approach and stick with one single instance?

@Alex Ortiz Great advice and I learned the hard way that Jira can get sloppy and disorganized very quickly allowing teams to take control.

As we close out 2025, Josh and I want to make sure we are serving you all the best content, information, and value we can. What would you like to see more of in this community? More discussions? Answer more specific Jira questions? More courses? 1:1 calls? Let us know! What would you like to see less of? 2025 was a great year and love that you both share insight. It has been helpful to me for sure. I know you both have a ton of content out there but maybe some micro sessions on specific topics like automation or reporting dashboards. I would also like to see or hear more real world examples. Your recommendations are great but how do we get the teams to buy in to some of the changes. Specifically, our teams like to blame tool vs teams process.
New to Jira – Looking for advice on setting it up for my Scrum team
Hi all! I’m setting up Jira for a team with two sub-teams. Each runs their own Daily Scrum, so we want separate boards but still stay under the same larger team/project umbrella. Current setup: - One large Jira project - Two boards (one per sub-team) - No backlog in the main project but the boards have backlog because the filters are set to the teams. Each Sub-Team works across multiple projects which are created in JIRA. Is this setup okay? Or what would you recommend: Appreciate any tips or setups that worked for you!

@Elizabeth Liga We run something similar. We created a "Motherbox" board that contains no filters to show all of the teams work and then if they require it, additional boards that filter down the work for "sub-teams". If you are looking to track cross project work, I would create a Plan and pull in what Projects/Spaces you need. I know Alex and Josh have a videos on what that looks like.
