I've been a VA for over a year and I'm still not sure how to justify raising my rate?
Like I know I've gotten faster, I know I've learned more tools, I know my work is better than it was 12 months ago But every time I think about telling a client my new rate I talk myself out of it How do you even start that conversation without feeling like they're just going to replace you?

Talked myself out of it for months then just sent the email. client replied within an hour, completely fine. the fear is always bigger than the actual conversation. frame it as a heads up not a negotiation "my rate is moving to X from next month" no apology, no over-explaining. the clients worth keeping almost never react the way you're dreading.
One thing I wish more VAs understood early:
Fast replies are good, but clear boundaries are better. I used to answer clients at all hours because I thought it made me “valuable.” It mostly just trained clients to expect 24/7 access. Now I set response windows from the start and clients actually respect me more. Weirdly, better boundaries improved retention too.

The retention point is the one that surprised me most when I started doing this. I assumed stricter boundaries would make clients less likely to stick around it's actually the opposite. when you have clear response windows clients know what to expect and there's no resentment building on either side. I set mine about 6 months ago and it's made the working relationships genuinely better. the clients who pushed back on it slightly at the start are now the ones who respect it most.

Let me save you some stress. You don't need to learn everything at once. Pick one tool that solves your biggest current problem and learn that one properly For me, it was Fathom because meeting notes were eating my time. One tool, one problem, actually solved. Then move to the next one That's it — that's the whole strategy that's been working for me

This is exactly how I approached it and it works. my first tool was Notion just for client notes and task tracking, nothing fancy. got comfortable with that, then added the next thing. two years later I have a solid stack I actually know how to use properly rather than ten tools I half-understand. the one tool one problem approach sounds too simple but it's genuinely the fastest way to build real confidence with the tech.
Something small that made a big difference in my client relationships
I started sending a 'Week 1 Wrap' message every Friday during onboarding — just a 5 line summary of what I completed, what's coming next, and one question for them to answer. Clients stopped micromanaging. Response times got faster. And they started trusting my judgment way more quickly. Most VAs wait for the client to check in. Flip that and you'll stand out immediately.

Started doing something similar a few months ago and the micromanaging thing is real it dropped almost immediately. I think clients check in constantly because they're not sure what's happening, not because they don't trust you. giving them a clear snapshot removes the uncertainty and they just... relax. the one question at the end is the part I'd never thought of though, going to add that to mine this week.
Can someone walk me through how they actually use AI for meeting notes?
I sit in on client calls, trying to take notes and actually pay attention at the same time, and honestly, I'm doing neither well. I heard Fathom and Tldv can do this automatically but I don't understand how it works in practice Does the client need to download something, too? Do you have to tell people on the call that it's a recording? I want to look more professional and organized, but I don't want to set something up wrong and make it awkward

Switched to Fathom about 4 months ago and it solved exactly this. client doesn't need to download anything you just share the link to join as normal. it does announce the recording at the start which handles the consent side automatically so no awkward "just so you know I'm recording this." after the call you get a summary and transcript within a few minutes. first time I used it properly I actually listened to the conversation instead of scribbling the whole way through and the notes were better than anything I'd written manually. worth trying on a low-stakes internal call first just to get comfortable with it
