Best tools for collecting and organizing a large amount of creative material?
First of all, thank you @Joe Apfelbaum for your incredibly helpful and generous post about tools and resources! There’s truly a whole world of amazing options out there. I have a question about creative structure and organization: If someone wants to: • Gather a large amount of existing material – documents, notes, reflections, images, and ideas – into one shared “collection space” • Then organize and shape it into something usable — like a guide, workbook, or system framework → Which tools or combinations of tools would you recommend for this collecting and structuring phase, ideally in a smooth flow where large volumes don’t become a barrier? Right now, I mainly use ChatGPT and Gemini, and I’m looking for the next step to move from “many scattered notes” to “one clear, structured body of work.” I’ve been considering Obsidian, but I’d love to hear what’s actually working for those of you who’ve tested different setups in practice. Would really appreciate hearing about your experiences 🙏

@Len AIA Team Sorry for my late reply, just catching up now after a few intense days☺️ Thank you so much for such a clear and incredibly helpful response.🙏🏻 It really gave me clarity on the differences between Notion, Obsidian, and Milanote and how I can start building my own “home base.” I’ve already started working with an INBOX system as a central collection space and I’m now expanding it, step by step, into the other folders. This is the perfect continuation of the work I’ve begun!

@Dan Monahan Wow, thank you so much for the incredible help and inspiration! What a clear and well-crafted system you’ve built, it’s truly valuable for me as I’m building everything from the ground up. It must have taken so much time and thought to create something this solid. There’s so much here I want to explore and start applying to my own structure!

So helpful! Thank you so much!
Biggest takeaway from Day 1
The importance of having a clear vision and studying patterns not only in the world around me, but also within myself. Right now, I want to build the energy and trust in the process so that my drive has the right foundation. And I don’t need to have all the tools to move forward 😉

@Shay'La Harris That’s such a great point, Shay. I’m in a similar place right now, trying to build the right foundation of energy and trust before adding more tools. I’m very new to this journey, so at the moment I only use ChatGPT, but I do have quite a few other apps I now realize I don’t really need. I’m finding my own way through all of this, step by step, simplifying and focusing on what truly supports growth.
Thoughts in the Process Day 2
I find myself in a somewhat confused in-between space. Somewhere inside, I understand that the way forward is through simplicity, small gestures, one step at a time, and with a sparring partner by my side. I had my moment with Sabrina yesterday! With brilliant simplicity, a whiteboard, and a pen, she created eye-opening clarity and showed incredible possibilities. But most of all, what a world she has built, entirely on her own! Right now, it feels like I’m standing in front of a door that’s slightly open. I know my direction lies behind it but I can’t quite reach it yet. My deep thirst for knowledge in this new world, combined with a mind that wants to run in every possible direction, is tripping me up a bit at the moment. And then came the clone program, bringing a flood of new thought - is it really what I need? It stirred up a lot of question marks ones I hope to find more clarity on today. Because what incredible days these are!I’m exactly where I’m meant to be right now. And one thing I know for sure. I’m on my way.

Thank you so much, this is incredibly helpful! 🙏 I’m still quite new in the AI world and mainly use ChatGPT and Gemini, but I’m planning to explore Obsidian, Notion, and maybe Claude soon. Do you have any experience with collecting and structuring a large amount of documents or notes into working material?
