A mistake I see newer VAs making:
They keep adding more services before getting really good at one. You do not need: - social media - bookkeeping - funnels - video editing - customer support - lead genALL at once. Pick 1–2 things, build repeatable workflows, then expand later. Clients pay more for reliability than a huge service list.

This is hitting me harder than I expected 😅 I've been adding services to my profile every few weeks because I thought more options meant more chances of landing clients. I have seven services listed right now and I'm not particularly confident in half of them. the "clients pay more for reliability than a huge service list" part is the thing I needed to hear most I've been thinking about this completely backwards. going to strip it back and focus on the two things I actually do well.
Okay small win but I have to share it somewhere
My client asked me to clean up and rewrite 5 emails that had been sitting in their drafts folder forever. I used AI to help me rewrite them and honestly the whole thing took me maybe 35 minutes Before, I would have agonized over every single word for hours and probably still felt unsure about it Client approved all 5 with zero edits and said they sounded perfect. I know it's not a huge deal but for someone who was scared to even try AI tools two weeks ago this felt like a big moment.

I'm still at the stage of being nervous to use AI for actual client work in case it sounds off and the client notices. the fact that yours came back with zero edits is genuinely giving me more confidence to just try it. what did you say in the prompt to make sure it matched the client's voice?
Anyone else noticing clients suddenly expecting VAs to know basic automation now?
Not full developer-level stuff, but things like Zapier, Notion automations, Airtable workflows, etc. I had two discovery calls this week where they casually asked “you can automate that right?” 😭 Feels like the baseline skill set is shifting fast.

This is making me slightly nervous 😅 I've been focusing on the basics and haven't touched automation at all yet. the fact that clients are already asking about it on discovery calls means I need to start learning sooner than I thought. can I ask are they expecting VAs to already know this coming in or are they okay with someone who's willing to learn it? trying to figure out how urgent this actually is for someone just starting out.
I switched from sending clients manual weekly reports to using Looker Studio
I genuinely don't know why I waited so long. Before I was copy pasting numbers from different places into a Google Doc every Friday — taking about 90 minutes per client Now I have a live dashboard that updates automatically and clients can check it anytime they want without messaging me The first time a client said 'I already saw the numbers, looks great' instead of waiting for my update I realized how much that one change shifted how they saw me If you're still doing manual reporting for clients you're spending time on something that shouldn't need your hands on it anymore

90 minutes per client on manual reports every Friday 😳 I hadn't even thought about how much time that adds up to across a month. I'm still doing everything manually and honestly didn't realise there was a better way. Looker Studio sounds intimidating though is it something a complete beginner could set up or does it take a lot of technical knowledge to get started? genuinely want to look into this.
How do you handle it when a client wants you to learn a new tool but won't pay for the time it takes to actually learn it?
Happening to me right now and I genuinely don't know what to do 😞 she wants me to learn a whole new project management system by next week and just assumes I'll figure it out in my own time. I don't want to seem difficult because she's my biggest client but I also spent 4 hours this week just watching tutorials and I wasn't paid for any of it. is this normal? do you just absorb it or is there a way to bring it up without making things awkward? I really need some advice on this one.
