Converting from Orion to Advyzon
Just sharing - We converted to Advyzon about 2 years ago from Orion. Short summary: We have zero rejects and have really been impressed with Advyzon. We were also able to migrate from iRebal to use Advyzon's Quantum trading platform...that was also pretty seemless. Couple of items: 1) We thought the conversion would take 6 months (before we would be fully transitioned), it was less than 3 months. We did spend time on the tutorials in advance, which was a big help. We did not have any data hiccups. Everything transitioned, including history from our inception with TDAmeritrade/Schwab. 2) We had some billing mismatches, but we discovered we hadn't entered things correctly because we bill CDs at a lower fee rate. Once we corrected that, everything matched. 3) Way better report options, easier to get what you want on the reports. Also way easier to change, update and create new reports. 4) Seemless integrations between the various "apps" within the advyzon system because it is not a multitude of software being pieced together. 5) We use Redtail CRM and Advyzon is every bit if not more robust than Redtail, but it works differently and some of the mores important items we use are complex on Advyzon. We moved back to Redtail for the time being and await the ability to add some customization that doesn't currently exist on Advyzon. Advyzon is great about replying and adding enhancements. They listen and seem to care about helping advisors. It was a great move and saved us a little money.

@Terry Herr Great to hear the Orion move went smoothly! Advyzon’s feature set is bananas, which can make simple tasks feel overwhelming. And I totally agree - they do a fantastic job improving things based on feedback and their reporting is butter smooth. I'd go as far as to say that Advyzon's reporting module (and Quantum as a whole) is even better than most of the the top-tier investment platforms. Hope you and Melissa are doing well - happy to see you in here!

I'm Alex, currently a consultant for a $0mil AUM firm (Village Financial Services) using Advyzon as my own CRM and for CRM demonstration/testing purposes. I will be hoping to use Mili as my AI notetaker now that I've read some of the threads on here - thank you @Chirag Gandhi 😄 But in all seriousness, I help firms ranging from solo advisor <$10mil in AUM RIA's up to firms with 35 employees and $1.4bil in AUM build-out their Advyzon processes, workflows, team structures, settings, dashboards, reporting, etc. The foundation of the offering is building out 15 client service processes (such as rollovers, account transfers, QCD's, etc.) and 5 relationship processes (such as Prospecting to Client, Onboarding, Review Meetings, etc) that are specific to each firms team structure, goals, tech stack, and SOPs. We have two versions of the offering with built in custodian-specific instructions for firms who custody at Fidelity and Schwab. Inevitably, best practices, integrations, CRM data clean-ups, and all other Advyzon-related topics come up in my conversations with firm owners and advisors. Right now, I'm working on furthering my understanding of Quantum Rebalancer, customized dashboard views, and the potential utilization of 'All-in-One' task templates that I'm hoping to build in a way that provides similar efficiencies to dynamic workflows for select processes, all in one centralized location. Is anyone using the Projects or Marketing apps in Advyzon?
I did a fresh demo of Auria by Advyzon and saw they have Projects and now even Marketing apps (this one I don't seem to have)... Wondering if anyone is using these? For info on the Marketing App, asking the AI chatbot about it.

I’ve seen firms use Projects to consolidate the follow-ups generated by Jump from client meetings, and it can work pretty well—especially when there’s just too much follow-up to manage individually (the advisor also had a supporting team member who was proficient in delegating the follow-ups appropriately so that it didn't take extra time out of the advisors day). The downside in most cases is that every single task has to be manually linked to the project, which gets tedious fast. And honestly, this might just be my workflow/template bias coming through, but Projects don’t automate steps the way workflows do, which somewhat limits what you can actually do with them. An area that the Projects application could be great is for firm-wide and/or advisor-level RMD tracking by bulk-linking annual RMD tasks from the Activities app (which is less tedious and could provide a one-stop shop for RMD's at a firm level, including the tasks, assignees, etc. which would be a bit more dynamic view than the RMD application in Advyzon alone (which I'm a fan of). I'd have to test this hunch to say for certain though. I’d also look at using Projects for surge-meeting season scheduling (same bulk-linking approach). It has the potential to keep everything centralized in one spot and makes it easy to confirm everyone gets scheduled. Plus, you can quickly click into any scheduling task to see exactly where things stand for each client. Could also be redundant depending on how a firm is currently tracking scheduling though. I wasn’t a fan of using Projects for the full review-meeting process — the lack of sequential, dynamic task assignments really limits the Projects application compared to what you can do with an actual automated workflow template. All in the idea bank at the moment - the potential is there!
Advyzon's November Updates - A Brief Workflow-Focused Summary
I'm excited to share several of Advyzon's 2025 November upgrades to their workflow application that will make your life and mine much easier! ✨ New Workflow Triggers & Action ✨ Tag Added Trigger: Automatically starts a workflow when a specific tag is added to a record. Upcoming Activity Trigger: Launches workflows based on upcoming Task or Calendar Event dates. Initiate Mail Merge (New Action!): Runs a mail merge directly from within a workflow—no extra steps required. 📌 Activity Management Enhancements 📌 Related Advisor in Notes: Notes now automatically display a “Related Advisor” field for better context and filtering based on the related record(s). Dynamic Reviewer Assignment: We now have the ability to assign reviewers by user, advisor team, or servicing group in Tasks, Manual Decisions, and Events. Tip: If no Reviewer is desired/needed for a Manual Decision (Reviewer is now a required field), you may select 'Specific Assignee' and leave the subsequent field blank. ⚙️ Workflow Builder Improvements ⚙️ You can place Manual Decisions directly after other Manual Decisions. This was included in a previous update, but I'm including here again since it's SUCH a powerful tool for optimizing the flexibility of decision paths. @Joe Moss Of course, and of course! They're highly customizable - you can even create your own custom fields (for use with prospects, clients, or both), risk tolerance questionnaires, and/or save multiple differing Fact Finder templates for different use cases. Here's a screenshot showing the various custom field types that can be included in your Fact Finder (found in System Administration>Fields>Custom Fields>+New) and a screenshot showing how easily one can include/exclude any given field within a customized Fact Finder (found in System Administration>Client Portal>Fact Finder>+New Template>Fields). Pro Tip: You may also require the prospect or client to complete any fields that are 100% essential (such as Birth Date, Marital Status, etc.) by checking the corresponding box below "Required" within the "Fields" section.
Advyzon is NOT working on a notetaker
First official news is that Advyzon is NOT working on an AI notetaker - they integrate with Jump and they're adding Mili soon, but the AI features they are working on do not include a notetaker…

@Chirag Gandhi This is music to my ears. Are you saying that 'behind the scenes' they've already solved for syncing notes and action items or are firms actually able to utilize those two functions already? Bidirectional integration for workflow triggers would be a game changer! I could see a lot of firms becoming very happy customers when those functions go live. I'm going to hop on Joe's calendar to touch base - thank you for sharing!
