Before the Appointment:
- Confirm Appointment Details: Reach out to the signer to verify the appointment time, location, and documents to be notarized.
- Gather Necessary Supplies: Ensure you have your notary stamp, journal, pens in black AND blue, identification for any gates or hospitals, and any other required notary tools.
- Share Location with Friends: Share your location with at least two trusted friends or family members. You can use a location-sharing app for added safety.
- Prepare Loose-Leaf Certificates: If required by your state, have loose-leaf certificates ready for use.
During the Appointment:
- Check ID: Verify the signer's identity by examining their valid government-issued identification.
- Review Documents: Examine the documents to be notarized, ensuring they are complete and have no blank spaces.
- Confirm Signer's Voluntary Act: Ask the signer if they are willingly signing the documents and if they understand the contents.
- Complete Notary Certificate: Properly fill out the notary certificate on each document, including your seal and any required information.
After the Appointment:
- Notary Journal Entry: Record the notarization details, including date, time, location, document type, and signer's information, in your notary journal, if needed.
- Provide Invoice: If you charge for your services, send an invoice to the signer for payment. Ensure it includes your payment instructions.
- Secure Documents: Safely store the notarized documents and any loose-leaf certificates you used.
- Notify Trusted Contacts: Inform your trusted friends or family members that the appointment has concluded, and you are safe.
- Follow Up: If necessary, follow up with the signer regarding any additional steps or copies of the notarized documents. Send a review request via text or email.
- Review & Close: Reflect on the appointment to identify any areas for improvement and close your notary journal.
