No more mindless follow ups!
Hi everyone. Have really been struggling with invoicing and chasing clients recently. I more than anyone hate to spend my Sunday nights (or any time at all honestly) writing up invoices or sending "just following up again" emails for the third time.
Anyway, I was playing around with ChatGPT and pieced together a little system that's actually been working. Wanted to share it in case it helps (and is completely free!):
  1. Set up a free Make.com account — this is the glue that connects everything.
  2. Connect it to whatever you use for email (Gmail works great) and a simple spreadsheet or Notion database as your project tracker.
  3. Ask ChatGPT/Claude etc to write you an automation scenario that: sends a payment reminder 3 days before an invoice is due, follows up automatically if unpaid after 7 days, and logs each client interaction to your tracker.
  4. Copy that scenario into Make — it'll walk you through connecting your accounts. Takes maybe 20 mins.
  5. Use ChatGPT to also draft your email templates (late payment, project kickoff, delivery confirmation) so they actually sound like you.
That's basically it. No fancy software, no accountant needed. The whole thing runs quietly in the background now and I haven't manually chased an invoice in weeks.
