How to Audit Your Database Before You Launch Any Outreach
Your future conversions depend on how well you do this part.
Most people skip the audit. They jump straight into sending texts, blasting emails, or firing off a reactivation workflow. Then they wonder why the results are disappointing.
A proper audit is the difference between outreach that lands and outreach that disappears into the void.
Here is the simple five step audit I teach clients before we launch anything.
1. Get clear on what you actually have
Before touching outreach, separate your database into clear categories.Past clientsOld leadsNew leadsUnresponsive leadsReferral partnersDead leadsLeads with no notes
Most businesses do not have a lead problem. They have a classification problem.
2. Clean the contact info before automation touches it
Bad data destroys conversions. Review and correct:NamesPhone numbersEmailsDuplicatesMissing tags. I you bought a list and they are ice cold, don't launch a campaign just yet. (later post for this)
A clean list can double your results before a single message goes out.
3. Find the warm pockets in your database
These are the people who:Opened previous emailsReplied onceShowed interest but stopped respondingBooked a call but did not showClicked something in the pastEngaged on social media
These leads respond significantly better than cold lists.
4. Audit the notes and the timeline
This is where the real insight sits.Look for:Why they came inWhat they wantedWhat stopped themAny life changes mentionedTheir timelinePast objectionsPast engagement
Understanding the story behind the lead gives your outreach context and makes it far more effective.
5. Decide who gets what style of outreach
Not every lead gets the same treatment.
Warm leads receive a conversational check in.Cold leads receive value or a pattern interrupt.Past clients receive review or referral prompts.Unresponsive leads receive a gentle nudge.High value prospects receive personal outreach.Old neglected lists receive a soft reintroduction.
Outreach should feel human, intentional, and appropriate for the relationship.
The rule
A database that is not audited will always convert poorly, even with great messaging.A database that is audited will convert with simple outreach that almost feels unfair.
Question for the community
