Stop chasing clients who ghost you. Instead, build a simple follow-up system that turns ‘maybes’ into ‘signed engagements.
Create a simple CRM sheet (Google Sheets or Airtable). Add columns: Name, Service Needed, Date Contacted, Status, Next Follow-Up Date.
Set a rule: Every lead gets followed up with 3 times in 7 days (Day 1, Day 3, Day 7).
Write 3 short follow-up messages you can reuse:
“Hey [Name], just wanted to check if you had a chance to review my proposal?”
“Quick follow-up — do you still want to move forward this week?”
“Last call before I close out my October onboarding spots — want me to save your seat?”
Block 15 mins every morning for lead follow-ups.
Color-code leads by stage: Red = cold, Yellow = warm, Green = closed.
Example Template:
🧾 Lead Follow-Up Tracker
--------------------------------------------------
| Name | Service | Contact Date | Status | Next Follow-Up |
--------------------------------------------------
| Sarah J. | Monthly Bookkeeping | 10/18 | Warm | 10/21 |
| Ahmed K. | Tax Strategy | 10/19 | Cold | 10/23 |
