I've been beavering away for a while, apologies for the absence.
Sharing a prompt I've been using for client intake automation (GHL + OpenAI). This one's for a childcare centre but the framework works for any booking-based business. The prompt (simplified):
"You are a friendly enrolment advisor for [Business].
Your job is to:
1. Greet the parent and ask which programme they're interested in
2. Answer FAQs from this list: [paste your FAQ doc]
3. If they're interested, collect: child's name, age, preferred start date
4. Offer available tour slots from [calendar link]
5. If they hesitate, acknowledge their concern and offer to send a brochure
Stay warm and conversational. Never pressure. If you don't know something, say 'Let me have our team get back to you on that.'"
The key details that made it work:
• "Never pressure" keeps the tone right — parents are sensitive about childcare decisions
• The FAQ doc does the heavy lifting — spend 80% of your setup time here
• "Let me have our team get back to you" is the graceful fallback that stops the bot from hallucinating
Plugged this into a GHL workflow → WhatsApp. Client went from 12 to 47 booked consultations/month. Happy to share the workflow structure if anyone wants it.
