Which version of Copilot do you actually have?
This is the single most common source of confusion
in Copilot. Read this before anything else.
THERE ARE TWO COMPLETELY DIFFERENT VERSIONS:
FREE VERSION (copilot.microsoft.com)
Free with any Microsoft account. Pulls from the
internet only. Has no idea who you work for, what
is in your inbox, or what meetings you have today.
This is what most people use by accident and wonder
why it does not connect to their work.
PAID VERSION — Microsoft 365 Copilot ($30/user/month)
Lives inside Outlook, Teams, Excel, Word, and
PowerPoint. Connects to your actual work data —
emails, files, meetings, SharePoint, calendar.
This is the one worth learning. Requires your
company to have purchased licenses.
HOW TO TELL WHICH ONE YOU HAVE:
Look for the Copilot icon in your Outlook or
Teams ribbon at the top. If it is there, you
have the paid version. You are ready to go.
THE TOGGLE MOST PEOPLE MISS:
Inside the paid version, there is a Web/Work toggle.
Most people leave it on Web. Switch it to Work
and suddenly Copilot can see your files, your
emails, your meetings — everything in your
Microsoft ecosystem.
That one toggle change fixes 90% of the
"Copilot doesn't know anything about my work"
complaints.
If you have the paid version and the toggle
is on Work, you are set up correctly.
