Here’s a follow-up to the meeting-notes exercise. This time, check whether your AI assigns work to someone who never accepted it.
Copy this prompt into your preferred AI tool:
“Turn the notes below into an action list. For each task, show the confirmed owner, deadline and supporting note number.
Use only the notes. Distinguish a request directed at someone from their acceptance. If ownership is proposed but unconfirmed, say so. Don’t assign work to the speaker just because they mentioned it. Write ‘Not stated’ for missing deadlines. Keep undecided suggestions separate.
Finish with the questions needed to confirm the open details.”
Fictional meeting notes:
1. Priya: “Alex, can you update the product page?” Alex: “I need to check my workload before I commit.”
2. Sam: “I’ll send the revised quote to the client by October 22, 2026.”
3. The team agreed to email existing customers about the revised opening hours. Nobody was assigned and no deadline was discussed.
4. Alex suggested offering a weekend discount. The team made no decision.
Expected result, provided as an answer key:
- Update product page: owner unconfirmed; Alex was asked but hasn’t accepted. Deadline: Not stated. Source: 1.
- Send revised quote: Sam. Deadline: October 22, 2026. Source: 2.
- Email customers about revised opening hours: owner and deadline Not stated. Source: 3.
- Weekend discount: undecided suggestion, kept outside the action list. Source: 4.
Questions to clarify:
- Can Alex take the product-page task? If not, who will?
- When is that update needed?
- Who will email customers, and by when?
Before trying this with real notes, remove confidential details and check that your tool is approved for the information.
Did your AI mark Alex’s ownership as unconfirmed, or assign the task anyway?
