This session was all about connecting the dots ā turning your onboarding process map into a working HR automation inside Make.com. You took the first real step toward building an end-to-end onboarding workflow powered by AI automation. What We Covered:

Together, we built an onboarding process map in PowerPoint using SmartArt:

3ļøā£ Data flows from ATS ā HRIS/payroll system
4ļøā£ Candidate & internal communications go out
5ļøā£ IT and security notified for equipment setup
6ļøā£ Benefits shared, start date confirmed, and orientation scheduled
7ļøā£ Automation ends on the employeeās first day ā the official start of onboarding
š” Key insight: Process maps make invisible work visible. Even documenting a messy process adds massive value.
āļø Building the Automation in Make.com ā¢ā ā Recreated the onboarding flow live inside Make.com using placeholders and modules. ā¢ā ā Configured mock integrations between Greenhouse (ATS) ā BambooHR (HRIS).
ā¢ā ā Added Gmail modules for:
š§ Employee welcome email
š§ Hiring manager notification
š§ IT/Security setup alert
ā¢ā ā Introduced the Router tool to send data in multiple directions simultaneously.
ā¢ā ā Demonstrated data mapping ā connecting applicant fields (name, email, department) between systems.
š§ Advanced Discussion Topics:
ā¢ā ā Handling missing data fields with required form entries or conditional logic (āif field empty, send follow-up emailā).
ā¢ā ā Using OpenAI within Make.com for smart workflows (e.g., detect missing info, auto-generate follow-up emails). ā¢ā ā The difference between manual vs automated HR environments, and how even small orgs can start simple (e.g., Google Forms ā Email notifications).
