đ AI HR Dojo Recap â Nov 3, 2025
Welcome to the Process Automation phase of AI HR Dojo! đ
Youâve now transitioned from building chatbots that respond to building systems that act â automating HR workflows end-to-end.
What We Covered:
âď¸ What is Process Automation?
â˘â â Defined automation as making repetitive, multi-step HR tasks run automatically â ideally without human intervention.
â˘â â Explored how AI enhances automation by analyzing triggers and improving decisions.
â˘â â Learned the TAO Framework â every automation has:
1ď¸âŁ Trigger: What starts the process
2ď¸âŁ Action: What happens automatically
3ď¸âŁ Output: What is produced or delivered
đź Real HR Examples
â˘â â Walked through the onboarding process â from offer acceptance to IT, payroll, and manager notifications.
â˘â â Discussed PTO requests, offboarding, and benefits enrollment as high-value automation opportunities.
â˘â â Understood how automating repetitive work saves time, reduces errors, and increases consistency across the org.
đ§ Why It Matters:
Automation shifts HR from task doers to system designers â youâre no longer pushing data, youâre building scalable systems that support strategic work and organizational growth.
𧊠Tool Landscape:
We explored key automation platforms:
Make.com (formerly Integromat) â visual, free-tier, and perfect for HR portfolios Zapier â long-standing and widely compatible
Microsoft Power Automate â ideal for organizations using Microsoft 365
Google Opal (Beta) â a new AI-based automation platform still in testing
đĄ Key Insight: The logic remains the same across all tools â learn one, and you can apply the framework to all.
đ§ Process Mapping:
Before building â map your process first.
â˘â â A bad process automated is still a bad process.
â˘â â Use tools like PowerPoint SmartArt or a whiteboard to visualize every step.
â˘â â Follow the 5Ws framework:
- Who triggers it?
- What information is needed?
- When does it happen?
- How does it happen?
- What gets created or sent?
đĄ Key Takeaway:
Process automation is about freeing HRâs time for strategy â not replacing people, but amplifying their impact.
Every process follows the same rhythm: Trigger â Action â Output.
