How to remove the stress of Monday (prompt at bottom of post)
Sunday afternoon. You're not working, but you're not off either. The week is just sitting there. Three quotes to get out, the guy who never called back about the framing, the invoice you keep meaning to chase, your kid's thing on Wednesday. Monday's alarm goes off and your heart's pounding from stress before it's even pounding from your extra large double double. One consistency among top performing contractors we've worked with is how effectively they use their calendar. I'm not saying every week you're forced to follow it exactly, this is construction after all. But the power of the calendar is in the art of planning how you're going to spend your time on the most important activities this week to move your business forward. And AI is the perfect tool to help you dial in your priorities and put it in writing. STEPS: 1. Hit the plus button in the bottom left of the Claude chat. 2. Hover over Connectors, then Add Connector, then Browse Connectors. 3. Connect to either your Google Calendar or Microsoft 365, depending on what you use. 4. Run the prompt below. 5. Then dump it out. Open Claude on your phone, hit the microphone, and talk for five minutes. Don't organize it, don't make it make sense. Work, personal, all of it. Then it sorts into four piles, and each pile gets a different action. ‼️ Urgent and important. You do these. Claude puts them on the calendar first, on the days their deadlines actually fall. ❗ Important but not urgent. Hiring, pricing, chasing the good GC, fixing how you quote. This is the work that grows the business and it never screams at you. It gets a real block in whatever space is left. If it's not on the calendar it isn't happening. ⚠️ Urgent but not important. Someone else should be doing this. Claude asks who, then writes the message you send to hand it off. If there's nobody to hand it to, it asks how you do it now and looks for what could be automated later. 🗑️ Noise. Stuff you should just let go. Then it writes the week and starts sliotting your tasks and activities into your calendar. You review it before anything goes on the calendar. Don't let it book blind.

As you learn, map my company into six divisions - Sales, Marketing, Operations, Accounting, Finance, Field. Under each, identify the repeatable processes I run (the 8-12 that matter most per division). For each process, note who owns it today and roughly how it starts, runs, and ends - but do not write any files. When the interview winds down, show me the full skeleton as a tree: divisions, then processes, flagging the ones that live only in someone's head. Basically you paste in a proposal or your sales meeting notes, and it reads through and points out the stuff that can become problems later, Things like vague wording, the assumptions on scope, things that will probably become change orders later... The 7 habits running my calendar (and where AI slots in)
I've been asked about my work habits enough times that I figured I'd just write it down. 6 years. A lot of different working styles. Here's what actually held up. 1. At least one empty day per week. No calls. No deliverables. Nothing scheduled. Present me always knows what matters more than the version of me who planned two weeks ago. I protect that. AI angle: Claude triages anything that comes in on those days before I look at it. 2. Stack your meetings. If you have to have calls, group them. Back to back. One ugly block, one clean deep work block. AI angle: Use Claude to prep for every call in under 2 minutes. Brief it, get a summary, walk in ready. 3. Half of Saturday off. Sunday to set up. Rest before you plan. The sequence matters more than people think. AI angle: 15-minute Sunday planning session with Claude. Review the week, set priorities, done. 4. Morning work window. No guilt. Sometimes you need to clear the deck before you can actually be present. Do it and move on. 5. Some kind of checklist. Pick one and use it. Notion, a notes app, a whiteboard, a legal pad. Doesn't matter. Two lists: long-term projects and short-term tasks. I use Notion connected to Claude. You don't have to. You just need a system you'll actually open. AI angle: Whatever you use, brief Claude on your active projects. Pull next actions without rebuilding context every time. 6. Time block when things get intense. Stop working from the top of the list and start assigning specific blocks to specific work. AI angle: Paste your task list into Claude, tell it what's moving this week. It sorts. Takes 90 seconds. 7. Night before hit list. Before you close the laptop, decide what you're doing first thing tomorrow. That decision is permission to shut down. AI angle: Give Claude your list at the end of the day. It drafts a priority order. You react instead of build. 8. Always be replacing yourself. Every week. Every day. Every time something pulls you away from the mission, ask: why am I still the one doing this?
